Job description

Velox is seeking a Project Coordinator to support the successful execution of fiber and utility construction projects by coordinating project workflows, tracking production and documentation, supporting billing and closeout activities, and keeping projects moving from start to finish.

This role serves as a key point of coordination between field operations, project management, engineering, subcontractors, clients, and internal teams. The ideal candidate is highly organized, detail-oriented, and comfortable taking ownership of multiple project priorities in a fast-paced construction environment.

What You'll Do
  • Coordinate and track multiple fiber and utility construction projects throughout the project lifecycle
  • Monitor project schedules, milestones, production, deliverables, and completion status
  • Coordinate utility locates, permits, work orders, and other project requirements
  • Review daily production reports, field documentation, and project photos to verify completed work
  • Prepare and process billing documentation based on verified production and completed work
  • Track project changes, change orders, and billing status
  • Coordinate with subcontractors and field teams to track production, documentation, and outstanding project needs
  • Prepare and maintain redlines, as-built drawings, and other project documentation
  • Maintain project trackers, spreadsheets, Smartsheet dashboards, and reporting systems
  • Compile project closeout packages, including permits, testing documentation, redlines, as-builts, and final deliverables
  • Maintain accurate project files and document version control
  • Work across field operations, engineering, project management, utility locating teams, municipalities, subcontractors, clients, and internal departments to resolve issues and keep projects moving
  • Ensure project documentation meets client requirements and company QA/QC standards
  • Identify opportunities to improve project workflows, reporting, and documentation processes

  • Proficiency with spreadsheets, project tracking systems, and digital collaboration tools
  • Experience in telecommunications, fiber construction, utility construction, or a similar project-based environment preferred
  • Experience with construction billing, utility locates, permitting, subcontractor coordination, redlines, as-builts, or project closeouts preferred
  • Smartsheet experience preferred
