Job description

POSITION: CONFERENCE PARTNER ASSISTANTSHIP
DEPARTMENTS: Community Outreach & Event Operations
REPORTS TO: Various (See below)
STATUS: Temporary Full-Time, Non-Exempt , Onsite
SUMMARY: This position provides expert support to the Orange Bowl Committee Staff by assisting with the various elements of its Community and Event Operations to include the Capital One Orange Bowl game as well as general office operations.
Duration: 6.5 months /Tentative start date: Fall 2026
July 2026 - September 2026
DEPARTMENT: COMMUNITY OUTREACH
REPORTS TO: SVP OF COMMUNITY OUTREACH
ESSENTIAL FUNCTIONS
WORK IN CONJUNCTION WITH THE COMMUNITY OUTREACH AND EVENTS DEPARTMENTS ON THE FOLLOWING:
Orange Bowl YFA Cheer & Dance Championships & YFA Super Bowls Events
  • Assist with the coordination between OBC departments including media, marketing, merchandising, sales, ticket operations, business and executive.
  • Assist with the Production of event manual & script with marketing department.
  • Assist with the coordination with facility to provide housekeeping, security and event staffing.
  • Assist with the management of all logistical needs including but not limited to entertainment, décor, audio/visual, gifts, etc.
  • Assist with the production, installation, dismantle and inventory of event signage and decor.
ASSIST THE COMMUNITY OUTREACH DEPARTMENT WITH THE FOLLOWING:
OBYFA
  • Assist in the planning and implementation of event logistics for Youth Football & Cheer Clinics
  • Planning and participation in OBYFA park of the week on various Saturdays as assigned
  • Attend necessary meetings in reference to operations of Alliance for OBYFA Cheer & Dance Competition and OBYFA Super Bowls, including YFA meetings and individual league football and cheerleading meetings.
  • Serve as the secondary operational contact for the OBYFA Cheer & Dance Competition & OBYFA Super Bowls
Family Fun & Fit Day
  • Assist in contacting and securing community vendors
  • Assist with planning and the implementation of event logistics
  • Assist in the delivery of marketing materials to local organizations, schools etc.
General
  • Assist with the administrative components of the Youth Sports program
  • Assist with the administration of various Orange Bowl sponsored scholarship programs
  • Assist in the coordination of Orange Bowl community service activities
  • Work with the Marketing & Promotions department in executing the administrative and logistical elements of the Orange Bowl Creative Art Contest
  • Must be able to work weekdays and weekends

  • Assisting the Coordinator with the planning and implementation of event logistics
  • Event day execution and staff lead for the two youth events
  • Working closely with venue and vendors of events
  • Liaison with Parks & Leagues participants, commissioners and administrators
Orange Bowl Golf Classic
  • Assist with planning and the implementation of event logistics
Orange Bowl Family Fall Festival
  • Assist in contacting and securing community vendors
  • Assist with planning and the implementation of event logistics
  • Assist in the delivery of marketing materials to local organizations, schools etc....
Orange Bowl Beach Run
  • Assist with planning and the implementation of event logistics
Capital One Orange Bowl Game Credentials:
  • Assist with the overall coordination and communication associated with the credential program.
  • Assist with the coordination of travel and accommodations for both vendor delegations.
  • Assist Vice President Events & Operations and Team Operations Coordinator in the production of the Participants Guides in relation to credentials and other pertinent game related information.
  • Assist with the management of expenses according to pre-approved budget.
Capital One Orange Bowl Frequency Coordination:
  • Assist with the overall coordination and communication associated with the Frequency Coordination program.
  • Assist with the coordination of travel and accommodations for both vendor delegations.
  • Assist with the management of expenses according to pre-approved budget.

Orange Bowl High School Football Showcase Event
  • Assisting the Coordinator with the planning and implementation of event logistics
  • Event day execution and staff assistant lead for the event
  • Recruitment of College & High School Coaches to include email and phone call follow-up
  • Delivery of marketing materials to local high schools
Orange Bowl High School Girls Basketball Showcase Event
  • Assisting the Coordinator with the planning and implementation of event logistics
  • Event day execution and staff assistant lead for the event
  • Recruitment of College & High School Coaches to include email and phone call follow-up
  • Delivery of marketing materials to local high schools
Orange Bowl Community Outreach Events
  • Assisting the Coordinator with the planning and implementation of event logistics for Spring events such as Paddleboard Championships, 5k Run and Food & Wine Gala as may be scheduled
General
  • Assist staff with the research, presentation and management of annual plans, budgets and purchase.
  • Responsible for the administration of agreements and budget for each assigned event.
  • Assist with the development, presentation and management of event staffing plans.
  • Development, presentation and management of event operational task lists.
  • Representation at various South Florida business functions as directed
  • Coordination of event meetings (both internally and externally) including but not limited to:
    • Scheduling
    • Agendas
    • Minutes
QUALIFICATIONS
  • Bachelor's degree in Sports Management or similar field.
  • Must be able to maintain confidentiality.
  • Highly organized and attention to detail. Excellent communications and interpersonal skills. Proofreading skills required.
  • Proficiency in MS Outlook, Word, Excel and PowerPoint. Photoshop and Publisher a plus.
  • Valid Driver's License
  • Must be available to work ALL Orange Bowl Committee events (weekdays and weekends) including but not limited to the Orange Bowl Youth Sports events
  • Other tasks as assigned by Department Heads.
