Job description

POSITION SUMMARY:
This position will be located a customer's on-site location and is responsible for coordinating and leading the day-to-day operations of a high-volume corporate mailroom to ensure efficient, secure, and customer-focused service. This role oversees all inbound and outbound package handling, mail sorting, and quality control processes, ensuring compliance with established procedures and client standards. This position provides leadership and direction to the site team members, supports the Site Manager and serves as a workflow leader, escalation resource, and quality control point for the team. In the absence of the Site Manager, this role manages overall mailroom operations and performs all functions normally handled by mailroom staff.

GENERAL DUTIES AND RESPONSIBILITIES:

  • Coordinate and perform mailroom functions including incoming/outgoing mail processing, interoffice mail distribution, and shipping/receiving
  • Act as the lead resource for process adherence, quality assurance, and issue resolution within the mailroom
  • Monitor daily workloads, identify bottlenecks, and proactively adjust workflows to maintain service levels and ensure SLA compliance
  • Follow strict confidentiality and document control procedures as outlined by customer and FedEx Office requirements
  • Provides training and development of team members on assigned shifts by monitoring goals and providing feedback
  • Interviews job applicants, complies with all company hiring policies and assists Manager with the selection of team members
  • Coaches, counsels and provides feedback to team members on their performance and to ensure adherence to company policies and standards
  • Maintains communication with the Manager and Lead and/or team to ensure deadlines and service expectations are met and quality checks are being performed
  • Serve as a leadership contact for client inquiries or escalations related to mailroom services
  • Ensure compliance with confidentiality and security protocols related to document handling and mail processing
  • Operate and maintain mailroom equipment including postage meters, scanners, copiers, and shipping systems
  • Provide informal guidance or peer training to mailroom staff or new hires as needed
  • Maintain accurate logs, records, and tracking of mail volumes, packages, and delivery information
  • Assist the Site Manager with reporting, audits, supply management, and vendor coordination
  • Escalate complex issues to Site Manager or client representatives as appropriate
  • Communicate professionally with clients, vendors, and internal staff regarding mail-related matters
  • Ensure proper operation and routine maintenance of all mailroom equipment
  • Identify process issues or service gaps and escalate them to the Site Manager
  • Track and log mail and package volumes, and assist with monthly or weekly reporting
  • Follow all safety, security, and confidentiality protocols in accordance with company and client policies
  • Perform special mail-related tasks or projects as requested by the client or manager
  • All other duties as needed or required

MINIMUM QUALIFICATIONS AND REQUIREMENTS:

  • High school diploma or equivalent (GED)
  • 2-3 years of experience in a mailroom, office services environment or customer service
  • 1+ supervisory or lead experience in a service or operations environment
  • Familiarity with USPS and commercial carrier processes (UPS, FedEx, DHL) preferred
  • Experience with mailroom equipment (e.g., postage meters, envelope openers, barcode scanners) preferred
  • Basic proficiency in Microsoft Office (Outlook, Excel, Word) and mail tracking software
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • For new hires, must meet all FedEx Office employment qualifications in force at time of hiring
  • For current FedEx Office team members, must meet hiring criteria for the position and transfer requirements as outlined in the Team Member Handbook

Actual starting pay would be determined by experience relative to the job, market level, pay at the location for this job and other job-related factors permitted by law.
