Job description

OrthoIndy Him Specialist I

General Statement of Duties:

The HIM Specialist I is responsible for ensuring all medical documents are scanned or uploaded into the electronic medical record system. The HIM Specialist I indexes all documents according to image type in patients' charts. The Specialist I coordinates closely with the scanning prep team for efficiency and priority scanning.

Essential Duties:

  1. Scans and indexes medical documentation batches and uploads faxes, according to the Department standards set by HIM. Responsible for meeting productivity standards set by HIM leadership and department need
  2. Immediately resolves scanning and indexing issues. Corrects inaccuracies by moving images from an incorrect patient account and rescanning into correct account. Reports quality issues in the risk management system for quality assurance follow-up.
  3. Responsible for mail pick-up, delivery and distribution to outside departments. Coordinates with interoffice couriers. Picks up and delivers all provider mail to his/her offices.
  4. Sorts and prints incoming paperwork for scanning. Prepares batches according to EMR system. Assigns priority batches to appropriate personnel
  5. Completes any UPS and FedEx requests daily. Completes all mail metering requests daily.
  6. Responsible for the distribution of all faxes received via mailroom fax numbers and for maintaining fax/copier machine
  7. Responsible for ordering and delivery all department supplies
  8. Faxes all PT documentation to appropriate providers and ensures transmission is complete
  9. Monitors and receives incoming phone calls and voicemails routed to the HIM queue line. Identifies patient needs, clarifies information and inquiries. Transfers calls to appropriate team as needed.

Requirements:

  • High school diploma or GED required; specialty training beyond high school preferred
  • 1-2 years of related experience required; 2-4 years of experience preferred
