Account Service Coordinator

POSITION PURPOSE:

Serves as the Account Service Coordinator, to create and maintain current work instructions, provide back up and support to multiple departments, create travel reservations.

RESPONSIBILITIES/DUTIES:

  • Establish and maintain trust-based relationships with employees, customers, and suppliers.
  • Interact and correspond with employees, customers and suppliers to provide information in response to inquiries about personnel, systems, services, and/or compliance.
  • Ensures compliance with policies and procedures found in Company manuals.
  • Work with flight following and maintenance to create new and maintain current work instructions.
  • Make travel reservations, to include flight, hotel, and car.
  • Liaise between DOO and maintenance/flight following/reservations to improve policies and procedures for training and efficiency.
  • Support Chief Pilot, DOO, and Safety Officer with manual updates.
  • Provide backup to flight following and maintenance departments.
  • Provide forecast information to accounting.
  • Provide accurate and timely invoice information to accounting.
  • Coordinate schedule information with flight following manager.
  • Performs other duties as assigned by the DOO.
  • Support Chief Pilot with record keeping and Pilot Records Database
  • Coordinate maintenance/repairs of company crew cars and maintain vehicle maintenance records
  • Maintains records for company apartments and manage keys
  • Track TKS and de-icing fluid amounts at FBOs and submit orders as needed
  • Organizes onboarding documentation for new hires, submit completed documentation to HR specialist, and files documents for record keeping
  • Completes PRIA requests from third party organizations
  • Ensure CSA and FedEx badging requirements are up to date for all employees
  • Schedules drug testing and maintains documentation of results
  • Maintains all employee records to meet audit standards

QUALIFICATIONS:

  • A 4-year degree in Business or an applicable field, or equivalent experience.
  • Three or more years of experience or training; or equivalent combination of education and experience.
  • Familiar with standard concepts, practices, and procedures within the field.
  • Skill in organizing resources and establishing priorities.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to develop and maintain recordkeeping systems and procedures.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Must have general knowledge of a variety of computer software applications in word processing and (MSWord, Excel, Publisher).
  • Must have advanced knowledge in Microsoft Excel and Adobe Pro.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

  • Excellent communication and organizational skills
  • Multi-tasking and interpersonal skills

SUPERVISORY RESPONSIBILITY:

  • None

TRAINING REQUIREMENTS:

  • Stay up to date on computer software applications
