The Work You Will Do:

Record Technician- District Four/Department of Transportation Development/District Right of Way Administ /Management Services

This position will direct and coordinate the accessing, reference, retrieval, and disposal of records maintained in a central storage facility or electronic database. This position will also establish and maintain a computerized program for tracking all records stored in a central facility or electronic database.

A Competitive Area Differential (CAD) additive in the amount of $1,268.00 will be added to the annual salary.

Your Specific Responsibilities:

Direct and coordinate the accessing, reference, retrieval, and disposal of records maintained in a central storage facility or electronic database.

Establish and maintain a computerized program for tracking all records stored in a central storage facility or electronic database.

Assist Right of Way Records and Funds unit in processing and evaluating information against a set of standards in order to utilize the Right of Way Management System (RWMS) to process a variety of invoices as assigned. Develop and maintain spreadsheets and/or databases to track the timeliness of invoice processing as required by Florida Statutes.

Assist the Right of Way office in procuring and processing payments for goods and services utilized by the Right of Way office, ensuring compliance with purchasing procedures. Provide support for other procurement activities.  Serve on Right of Way receptionist team.

Serve as back-up Training Coordinator for Right of Way. Attend Training Coordinator meetings throughout the year. Keep training records for Right of Way employees. This includes, but is not limited to, the following: maintain the monthly training calendar, communicate adjustments in the Training Schedule to unit employees (cancellation of class, change in location, change in hours, etc.).

Assist in performing detailed data analysis on parcel registers in order to close Right of Way projects included in the Right of Way Management System (RWMS). Identify and recommend changes to project records in order to prepare the final report and certification. Track the status of post-certification projects and identify projects eligible for closeout in accordance with Records Management procedures. Maintain detailed documentation of closed and pending projects. Coordinate the destruction of documents that have met the retention schedule in accordance with established procedures.

  • High school diploma or equivalent and two years' experience performing general clerical duties in the processing and maintaining of office records. Post-secondary education can substitute for the required years of experience on a year-for-year basis.
