Position Summary:
We have an exciting opportunity to join our team as a Coordinator/Dental - Brooklyn.

In this role, the successful candidate Responsible for providing a wide variety of administrative support (coordinates and maintains calendars, creates and maintains various reports and databases, prepares and processes travel and expense reports, arranges conference calls, answers office phones, sorts mail, fax, process invoices/payments/purchase orders/requests checks, filing, facilitate projects for VP, documenting meetings, etc.) and other related administrative duties for the VP of Graduate Dental Education (GDE) and VP for Dental Medicine.

Job Responsibilities:

* Demonstrates knowledge of the organizations Core Values and incorporates them into the performance of duties. * Performs and participates in other duties as assigned. * Maintains monthly newsletter and sends ad-hoc communications to staff * Process and submit payroll/timesheets for about 30 employees on a biweekly basis - enter PTO requests, sick time, leave, etc. (received via email); ensure total hours are correct prior to submitting payroll on payroll Mondays; submit case numbers as needed * Assist in event planning, arranging, executing large parties, team-building events, group outings, amongst other events (i.e. faculty development) and manages catering for lunches and group meetings. * Appointments, Reappointments & Termination Facilitates interviews in coordination with HR, collect and maintain faculty documents for the department (i.e. contracts and licenses), and follows up with candidates/HR as needed * Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office. Performs general clerical duties (photocopy, fax, mails, files, etc.) as needed. * Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the organization, as appropriate, to include maintenance, inventory management, logistics, security, and related activities. Maintains office efficiency by planning and implementing equipment needs. May order office supplies and organize department supply room. Develops filing systems, internal mailing processes and procedures. * Creates, requests, receives and/or enters invoices and POs for Dental department related expenditures and grants. Manages travel and expense reports for VPs. May organize travel logistic arrangements and itineraries as needed. Ensures compliance with NYULMC financial policies. * Researches and analyzes data related to administrative functions: supply/inventory management, payroll, scheduling, budget, clinical/regulatory compliance, etc. Prepares a variety of communications, reports, charts, written documents, etc detailing the findings which may be highly sensitive and confidential in nature. Reviews findings with Assistant Directors/VPs. * Maintains schedules/calendars, makes complex scheduling arrangements involving multiple parties and conferences, screens and handles telephone communications evaluates incoming and outgoing correspondence and prepares responses as appropriate. Organizes and facilitates meetings, conferences, and other special events, as required, including identifying needed resources and arranging for required support (i.e. Technical, A/V, etc) for meetings and events under minimum direction. Prepares agendas and supporting meeting handouts for VP and Assistant Director. Compose, creates, formats, and reviews meeting minutes, as needed. Types and proofreads memos and reports. Maintains and disseminates minutes; develops documents for presentation or meeting. * Supports the VPs in project planning/coordination to ensure efficiency. Assists in documenting projects and tasks such as goals and objectives. Coordinates the administrative efforts of all offices/divisions for Dental Medicine VPs. * Coordinates the day-to-day activities for VPs. Coordinates the efforts of divisional administrative employees, and acts as the liaison between Dental Medicine and other departments such as but not limited to Compliance and Finance.

Minimum Qualifications:

  • To qualify you must have a Bachelors Degree and/or 2 years of relevant experience or an equivalent combination of education and experience.
  • This must include experience with performing administrative support to leaders for all day-to-day operations in their areas and successfully working in a highly motivated, fast-paced, critical role.
  • The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills.
  • Knowledge of standard office software is essential, including proficiency in Microsoft Suite (Excel, Outlook, PowerPoint and Word) and experience with an electronic timekeeping/payroll system as well as an electronic financial system.
  • Ability to multi-task and/or coordinate multiple assignments, deadlines, tasks and projects is required.
  • Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.

Preferred Qualifications:

  • Bachelors degree and 2 years experience.
  • Previous experience administering office operations in a healthcare setting preferred.
  • Other preferred skills include proficiency in Kronos (timekeeping) and PeopleSoft Financials.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $47,377.20 - $59,634.26 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
