ADMINISTRATIVE ASSISTANT – AFTERNOON SHIFT-MOUNTAIN CREEK FARMS

CALGARY, AB

With approximately 3,300 employees, JBS Food Canada ULC (“JBS Canada”) is one of Canada's largest beef processors. Consisting of four locations—the main processing facility located in Brooks, Alberta, where approximately 4,400 head of cattle are harvested and processed daily; the Head Office and a case ready plant, both based in Calgary, Alberta; and JBS Ontario, a case ready plant located in Belleville, Ontario. The JBS Canada facility in Brooks has the capacity to produce products ranging from boxed beef primals, ground beef, beef trimmings, beef by-products and hides which are shipped across Canada and worldwide. At the multi-protein Mountain Creek Farms case-ready facility in Calgary, JBS Canada produces value-added products including marinated, portion sized, multi-pack options, kebabs and much more. NOTE: This role will be located at Mountain Creek Farms in Calgary, Alberta. Evening shift

Qualifications:

  • computer proficiency, including effective working knowledge of MS Word, Excel, Outlook;
  • logistics/shipping experience in an office environment considered an asset;
  • strong written and verbal communication in English, including technical writing skills;
  • High School Diploma or GED required;
  • administrative support experience considered an asset;
  • analytical and problem-solving skills with high attention to detail;
  • self-directed, has initiative and a strong multi-tasking ability;
  • post-secondary education in a business-related field considered an asset;
  • ability to proactively anticipate issues before they arise including having problem-solving skills;
  • Knowledge in inventory and / or billing software, including SAP is considered an asset;

Responsibilities:

  • Reception – ensure visitors are signed in, maintain security and GMP / PPE safety requirements
  • Security Control – ensure the security of the main production area is maintained via electronic lock engagement and controlled access permitted to known persons
  • Order Entry / Invoicing / Shipping
    • completing production documentation if needed for communication of critical information to persons within and external to JBS and MCF;
    • creating and processing orders, preparation and distribution of shipping documentation to correct transport operators;
    • consistent communication with MCF production, shipping team members as well as carriers and external storage personnel (as needed);
    • communicate professionally with all levels of personnel via phone, e-mail and written correspondence;
    • prepare correspondence and documents;
    • accurately complete data entry, reporting and updating/creating spreadsheets;
    • daily filing and administrative duties;
    • ensure information is gathered from required sources and similar information is matched across documentation;
    • follow approved Standard Operating Procedures and ensure internal controls are strictly complied with;
    • solve problems independently through full analysis of situations and employing best practices;
    • cross-train on multiple functions within the department to increase individual and team strength
