The Organization
San Gabriel/Pomona Regional Center (SG/PRC) is a private, non-profit agency that is contracted with the State of California, Department of Developmental Services (DDS) to provide services and supports to individuals with intellectual and developmental disabilities. We proudly serve 30 cities across the Foothill, Pomona, and El Monte Health District within Los Angeles County. Our services span the full lifespan from infants and toddlers, school-age children, and transition-age youth to adults and aging adults. At SG/PRC, our work is guided by compassion, collaboration, integrity, and a shared commitment to making a meaningful difference in the lives of the individuals and families we serve.
The Position
Reporting to the Facilities Manager, the Facility Specialist performs a variety of unskilled and semi-skilled facilities support, maintenance, inventory, and logistical duties to ensure the safe, efficient, and effective operation of agency facilities. This position plays a key role in maintaining building functionality, supporting staff with equipment and meeting room needs, managing inventory, coordinating with vendors and landlords, and providing general operational support across the organization.
Essential Job Functions
  • Manage office paper and office supply inventory, ordering, and distribution.
  • Provide copier, printer, and multifunction device support, including toner replacement and consumable maintenance.
  • Administer printer management software and print services.
  • Set up and support audio/visual (A/V) equipment and conference rooms for meetings and events.
  • Administer meeting room scheduling and reservation systems.
  • Manage employee ID card issuance, keycard access, and electronic door access control systems.
  • Administer building, office, and cubicle key inventory and distribution.
  • Oversee shipping, receiving, and mail distribution services.
  • Coordinate confidential document shredding and electronic waste (e-waste) collection and disposal.
  • Maintain file archives, records organization, and document retention and purging.
  • Capture, edit, and produce photo and video content for business needs.
  • Administer security camera (CCTV) and HVAC building management software systems.
  • Manage facilities service desk requests, support communications, and coordinate office lighting maintenance.
  • Provide general facilities, workplace, and building support to ensure efficient daily operations.
  • Coordinate workplace resources and building support services to maintain a safe, organized, and functional office environment.

Requirements
Employment Standards
  • High school diploma or GED from an accredited institution.
  • Two (2) years of experience in maintenance, security, general office support, or a related field; or
  • An equivalent combination of education, training, and experience that demonstrates the knowledge, skills, and abilities required for the position.

Knowledge and Abilities
  • Knowledge of office operations, facilities support, and workplace services.
  • Knowledge of office equipment, including copiers, printers, multifunction devices, and audio/visual (A/V) systems.
  • Knowledge of electronic access control, key and keycard management, security camera (CCTV), and building management systems.
  • Knowledge of records management, inventory control, document retention practices, and related software applications.
  • Ability to maintain accurate records, inventories, and system documentation.
  • Ability to organize, prioritize, and coordinate multiple assignments while responding to changing operational needs.
  • Ability to communicate effectively and provide courteous customer service to employees, vendors, and visitors.
  • Ability to work independently and collaboratively while supporting multiple departments.
  • Ability to safely move, lift, and transport office furniture, equipment, supplies, and materials.

Other Essential Requirements
  • Valid driver's license with an acceptable driving record.
  • Employees using a personal vehicle for agency business must maintain the required minimum automobile liability insurance.
  • Ability to work occasional evenings and weekends to secure buildings or respond to operational needs.
  • Ability to respond to after-hours building access system alarms when assigned.

Physical Demands & Work Environment
  • Work is performed primarily in office, warehouse, and agency facility environments, with frequent movement throughout agency buildings.
  • Frequent standing, walking, bending, stooping, climbing stairs, and reaching while performing maintenance and inventory duties.
  • Regular lifting, carrying, pushing, and pulling of furniture, equipment, and supplies; ability to lift and move heavy objects.
  • Frequent use of hand tools and maintenance equipment.
  • Ability to drive to various locations to transport supplies, equipment, and agency materials.
  • Exposure to varying indoor and outdoor environmental conditions while performing facility-related responsibilities.
  • Adequate visual acuity and manual dexterity to inspect equipment, perform repairs, maintain inventory, and operate office equipment.
  • Employees are expected to follow all agency safety procedures and ergonomic work practices.
