Part-Time Customer Relations Advisor

The Batavia Park District was established in 1969 through voter referendum. Since its establishment, the Park District maintains and operates approximately 400 acres, comprised of 40 sites, skate park with pump track, a unique aquatic facility, a museum and a multitude of baseball and soccer fields and tennis and basketball courts. The Park District offers nearly 2,000 programs each year and serves roughly 95,000 participants through various recreational, arts, and environmental programs. The Batavia Park District is committed to excellence and is a leader in providing leisure experiences that enhance the quality of life for our community.
Job Summary
The Customer Relations Advisor is an integral and visible member of the Batavia Park District's Finance team, which supports all departments within the district. The individual in this role will provide exemplary customer service to internal and external customers.
Essential Functions:
  1. Greet visitors, answer phones, address customer inquiries and direct customers to appropriate staff as needed.
  2. Responsible for being knowledgeable of Park District brochure and events.
  3. Process program registrations, reservations for park/facilities, and drop-in programs through RecTrac via cash, check, credit card or household credit.
  4. Responsible for making phone calls and/or emails to inform customers of cancelled classes and offering refunds or make up classes.
  5. Calling waitlist customers to make sure classes are filled and calling to inform them of any changes in the class times, locations, etc.
  6. Communicate with local Park Districts regarding shared programs and enroll patrons if space is available.
  7. Responsible for updating registration database.
  8. Assist in entering and changing programs in RecTrac as needed.
  9. Responsible for upkeep of guest area to ensure information is up to date and the area is welcoming.
  10. Create projects using the Cricut machine for Rec Supervisors or Marketing Departments as requested.
  11. Process monthly automatic debits for reoccurring programs which include keeping an updated database and running reports.
  12. Design, update and mail out the Senior Brochure monthly.
  13. Assist with online registration with customers.
  14. Responsible for answering customers through text messaging.
  15. Assist in setting up and taking down for senior programs and open pickleball on a weekly basis.
  16. Proofreads the quarterly brochure and makes corrections.
  17. Help to receive, stamp and sort mail daily. Also receiving packages and making sure receiver knows they are here.
  18. Keep the Civic Center Local Offender binder updated.
  19. Design and update the quarterly Age Flyer that is distributed to the public and posted on our website.
  20. Assist with Park District Special Events as needed.
  21. Help to cover other buildings for lunches, meetings, or otherwise needed.
  22. Perform all jobs and tasks within guidelines and rules of District's safety program.

Education and Experience:
This position requires a high school diploma or its equivalent and one year of experience in customer service and clerical work.
Knowledge, Skills and Abilities:
  • Proficient in Microsoft Office, RecTrac, and Adobe. Canva experience a plus.
  • Strong decision making and organizational skills.
  • Ability to communicate with the public through verbal and written communication.
  • Understand and anticipate customer's needs as well as supports a proactive customer service environment.
  • Able to multitask and establish priorities.
  • General office skills.
  • Detail-oriented.
  • Ability to think outside the box.

Physical Demands and Work Environment:
This job is performed in a typical office environment. Requires full range of body motion including handling, lifting, and manual and finger dexterity. Requires frequent standing, bending and stooping for prolonged periods or sitting at a desk at a computer. The employee must occasionally lift up to 15 pounds.
Part-Time, Non-Exempt (hourly) position
Pay: $20.00 - 24.00/hour, DOQ
Job Type & Benefits
This is a part-time position. Part-time employees working more than 1,000 hours a year will be eligible to participate in Illinois Municipal Retirement Fund (IMRF). This position is eligible to be enrolled in the District's Employee Assistance Program (EAP) and Positive Activities Toward Health (PATH) incentive program; a 10-punch pass to the Hall Quarry Beach and to receive discounts on in-house programs including fitness and yoga.
