Ascension Global Staffing & Executive Search is seeking an experienced Lead Legal Assistant  – Medical Malpractice & General Liability Defense to join a well-established and highly respected law firm. This is an excellent opportunity for a seasoned legal professional who thrives in a fast-paced litigation environment and enjoys taking on a leadership role while providing exceptional support to attorneys.

The ideal candidate will have extensive experience supporting medical malpractice and general liability/third-party defense attorneys and will serve as a trusted partner to the firm's Managing Shareholder. This individual will also help guide and mentor members of the legal support team while ensuring the efficient day-to-day operation of the practice.

Position Overview

As the Lead Legal Secretary, you will play a critical role in managing complex litigation matters from inception through trial. You will coordinate schedules, maintain case files, oversee litigation deadlines, and provide high-level administrative and legal support. This role is ideal for someone who is organized, proactive, detail-oriented, and enjoys working collaboratively in a leadership capacity.

Key Responsibilities
  • Provide high-level legal and administrative support to the Managing Shareholder.
  • Draft, revise, proofread, and prepare pleadings, motions, discovery, correspondence, and other litigation documents.
  • Coordinate depositions, hearings, mediations, expert witness schedules, and court appearances.
  • Prepare and file court documents through state and federal e-filing systems while ensuring compliance with all court rules and deadlines.
  • Maintain and organize electronic and physical case files throughout the litigation process.
  • Manage attorney calendars, deadlines, scheduling, and litigation workflow.
  • Monitor litigation deadlines and proactively ensure timely completion of all tasks.
  • Handle attorney time entry, billing support, and other litigation support functions.
  • Serve as the lead legal secretary for the practice group, helping coordinate workflow across the legal support team.
  • Mentor, train, and support additional legal assistants and secretaries as the team grows.
  • Foster a collaborative, professional, and team-oriented work environment.
Qualifications
  • Minimum 5 + years of legal secretary experience in a litigation law firm.
  • Direct experience supporting medical malpractice defense attorneys is required.
  • Experience with general liability and/or third-party defense litigation is highly preferred.
  • Thorough understanding of medical malpractice litigation procedures, deadlines, court filings, and case management.
  • Experience coordinating complex attorney calendars, depositions, hearings, mediations, and trial preparation.
  • Knowledge of attorney billing, time entry, and litigation support operations.
  • Excellent organizational, communication, and multitasking skills.
  • High level of professionalism, discretion, and attention to detail.
  • Strong proficiency with Microsoft Office Suite (Word, Outlook, Excel) and legal document management systems.
  • Self-motivated with the ability to anticipate attorney needs and prioritize multiple assignments in a fast-paced environmen
