Accounting/HR Coordinator (Part-time)

FLSA Status: Non-exempt

Department: General & Administrative

Reports To: Staff Accountant and HR Generalist

POSITION SUMMARY

Under the supervision of the Staff Accountant and HR Generalist, the Accounting/HR Coordinator provides administrative support to the Finance and HR departments.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

Accounting

  • Conducts scanning, filing, and server database sorting of all accounting files
  • Records accounts payable, accounts receivable, and credit card transactions into QuickBooks Online accounting system
  • Maintains and replenishes the monthly inventory of student and employee uniforms supply
  • Manages and maintains all copy rooms, supply rooms, storage rooms, postage, and breakroom inventories
  •  Supports tuition, student fees, and accounts receivable collections
  • Maintains confidentiality of all student, family, employee, vendor, donor, and corporate work-study partner information
  • Ensures accurate information for current and new employees is reflected in the payroll database, verifying and providing inputs regarding data and changes
  • Create reports in Excel as needed for tracking and analysis of data


Human Resources

  • Maintains accurate and up-to-date employee files, including electronic, physical, and Paylocity files
  • Assists with periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
  •  Tracks and sends renewal notifications for employee certifications, licenses, and trainings
  • Assembles notifications, documents, and other items for employee distribution
  • Maintains confidentiality of any private information
  • Perform other duties and responsibilities, as assigned (both Accounting and HR)


Requirements:
  • High school diploma or equivalent
  • Minimum 2 years of administrative experience
  • Experience with Quickbooks and Google Workspace, preferred
  • Fluent in Spanish, preferred
