Job description

Senior Executive Assistant to CEO

Location: Framingham, MA - Onsite

Schedule: Full-Time | 40 hours per week

Salary: $100,000–$120,000 annually



Responsibilities

  • Provide comprehensive executive support to the Founder/CEO across multiple companies, business ventures, and initiatives
  • Proactively manage a complex executive calendar, appointments, meetings, and competing priorities
  • Protect the CEO’s time by determining priorities, resolving scheduling conflicts, and appropriately managing lower-priority requests
  • Prepare thoroughly for meetings by gathering materials, identifying outstanding issues, and ensuring the CEO has the information needed to make decisions
  • Coordinate meeting agendas, participants, logistics, notes, action items, and follow-up
  • Track commitments, deadlines, deliverables, and follow-up items through completion
  • Attend and lead meetings when appropriate, documenting decisions, responsibilities, and next steps
  • Coordinate detailed domestic and/or international travel, including flights, accommodations, transportation, itineraries, and contingency planning
  • Draft, edit, and proofread executive correspondence, reports, presentations, summaries, and other materials
  • Conduct research and compile information to support business and executive decision-making
  • Serve as a key point of coordination between the CEO and employees, leadership, clients, vendors, and other external stakeholders
  • Support projects and priorities across multiple businesses and help ensure information moves effectively between teams
  • Create and maintain project trackers, timelines, task lists, and status reports
  • Support new business ventures, transitions, events, acquisitions, and other strategic initiatives
  • Identify potential scheduling, communication, or operational issues before they become problems
  • Handle sensitive and confidential business, employee, and executive information with discretion
  • Maintain organized electronic records, executive files, contact information, and recurring deadlines
  • Assist with routine administrative responsibilities as needed; this individual must be equally comfortable with high-level executive work and basic administrative tasks

Qualifications

  • 5+ years of experience directly supporting a CEO, C-suite executive, founder, president, owner, or other senior leader
  • Experience supporting executives in a regulated, highly confidential, or complex business environment strongly preferred
  • Exceptional calendar management, organization, and time-management skills
  • Demonstrated ability to manage a busy executive with significant competing priorities
  • Strong meeting preparation, follow-through, and action-item management skills
  • Excellent written and verbal communication skills
  • Exceptional attention to detail
  • Strong judgment, discretion, and ability to handle highly confidential information
  • Ability to anticipate needs and work independently without waiting for detailed direction
  • Comfortable taking ownership of projects from beginning to end
  • Highly adaptable and able to shift between different companies, industries, projects, and priorities
  • Strong problem-solving skills and ability to remain composed in a fast-paced environment
  • Proficiency with Microsoft Office, Google Workspace, and common business technology
  • Ability to quickly learn new software and systems
  • Genuine interest in the organization’s work and immigration-related mission
  • Bachelor’s degree preferred
