Role Overview
This role exists to ensure execution, communication, and priorities at the executive level are consistently organized, aligned, and moving forward.
We are seeking a highly capable Executive Assistant who operates as an execution partner to leadership—someone who can exercise independent judgment, anticipate needs, and maintain structure across operations without requiring constant direction.
You will play a central role in organizing information, maintaining momentum across initiatives, and supporting executive decision-making processes through clarity, follow-through, and proactive coordination.
Primary Responsibilities:
Executive & Priority Management (Core Responsibility):
  • Manage and optimize executive calendar, priorities, and time allocation.
  • Track key initiatives, deadlines, and deliverables across the business.
  • Ensure follow-through on commitments without requiring oversight.
  • Organize information to support executive visibility and decision-making.
Communication Management:
  • Manage executive inbox, including drafting, editing, and sending communications.
  • Review and refine written communication to ensure clarity, tone, and accuracy.
  • Serve as a point of contact for internal and external communication.
  • Track conversations and ensure all follow-ups are completed.
Client Onboarding & Coordination:
  • Oversee onboarding workflows for new clients from initiation to completion.
  • Ensure all required documentation and processes are completed accurately and on time.
  • Maintain a consistent, professional client experience.
  • Identify gaps and resolve issues proactively.
Event & Travel Coordination:
  • Coordinate travel logistics, itineraries, and scheduling.
  • Assist with planning and execution of events.
  • Provide support for on-site coordination when required.
  • Ensure logistics align with business priorities and timelines.
Operational Structure & Process Improvement:
  • Maintain highly organized systems for documents, communication, and workflows.
  • Identify inefficiencies and help improve internal processes.
  • Support the development of scalable operational structure.
  • Handle confidential information with discretion.

  • Executive calendar and inbox are fully organized and controlled.
  • Priorities and deadlines are consistently tracked and executed.
  • Client onboarding processes run smoothly without gaps.
