Summary Of Position:

The EA has Executive Administrative responsibilities to support the Executive Growth Team (EGT) and the organization as a whole. This position will work directly with CEO and C-level executives and will be responsible for coordinating general business activities including appointment-setting and calendar management, travel management, event planning, expense management, and other administrative activities for PSB. This is a highly visible position within the organization and requires a high degree of confidentiality and discretion. This position requires the ability to exercise good judgment and to prioritize and manage multiple projects simultaneously with minimal supervision.

Responsibilities:
  • Completes a broad variety of administrative tasks for the CEO & EGT including coordinating and managing a calendar of appointments; compiling reports; composing and preparing correspondence that is sometimes confidential; arranging plans, itineraries, and documents for travel-related meetings
  • Communicates directly, and on behalf of, the CEO, with Board members, Teammates, partners, and others, on matters related to the CEO's schedule
  • Works closely and effectively with the CEO to keep them well informed of commitments and responsibilities, following up appropriately
  • Prioritizes conflicting needs: handle matters expeditiously, proactively, and follow through to successful completion, sometimes with deadline pressures
  • Coordinate and serve as administrative liaison for Board meetings
  • Assists in the editing and formatting of major organizational communications
  • Expense management for EGT
  • Schedule and coordinate company meetings, orientations, and Leadership Forums
  • Organization of conference rooms when needed
  • Other duties as assigned by the CEO
  • Travel & Expense Management
    • Maintain and execute U.S. travel and expense policy in partnership with HR
    • Provide reporting and expense details to AP for the corporate travel card, car rental invoices, etc.
    • Work closely with hotels for all company locations for special lodging rates
    • Schedule travel for out-of-state candidate interviews if requested
    • Manage travel vendors (DEEM) and Emerald Club
  • Assist with teammate engagement activities and events
  • Special projects as assigned by EGT
Qualifications:
  • Associates or Bachelor's Degree is preferred
  • Demonstrated high level of proficiency in Microsoft Office Suite
  • Proactive problem solver with a high level of ownership
  • Exceptional written and oral communication skills; close attention to detail and commitment to producing excellent work
  • Maintains strict confidentiality both internally and externally
  • Ability to organize and prioritize workload
