Summary:
We are seeking an Executive Administrative Assistant to be responsible for the day-to-day comprehensive administrative support in a fast paced, entrepreneurial environment. The Executive Assistant must be effective in planning, prioritizing, and executing tasks in a timely manner. They must also exhibit skills in building & maintaining strong relationships both internally & externally.
The Executive Assistant's responsibilities include but are not limited to managing calendars, working on deck presentations, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members. The ideal candidate is both approachable & respectful, comfortable with new technology, virtual meeting platforms and
scheduling systems. Considering the culture of ownership and accountability, this person should be comfortable taking the initiative when faced with administrative decisions.
Responsibilities:
  • Extensive calendar management, travel planning, call and webinar logistics
  • Expense reporting and management
  • Event, meeting and interview planning, execution & oversight
  • Project and special assignment work
  • Process support within systems and tools
  • Presentation and document creation, version management
  • This individual must possess excellent interpersonal, communication, and client/leader management skills while displaying the highest degree of integrity and confidentiality. The successful candidate will be detail oriented, organized, creative, proactive, and understand the urgency and confidential nature of the position. Our Executive Assistant thrives in dynamic and fast-paced environments, works well under pressure, and has a passion for administrative support work.

Education Requirements:
Bachelor's degree preferred, high school diploma (or equivalent) in combination with significant experience will be considered in lieu of degree. Minimum of high school diploma or equivalent is required.
Basic Requirements:
  • Proficiency in Workday, Concur a plus
  • Advanced proficiency in Outlook and PowerPoint
  • Minimum of 2 years of executive administrative support experience or similar position
  • Skills, knowledge and applications related to scheduling, travel, presentations, team meetings, communications and calendar management
  • Advanced proficiency with Microsoft Office (specifically Outlook, PowerPoint, Word & Excel); travel systems (i.e. Concur) and expense management and reimbursements
  • Good judgment and initiative
  • Strong agility and adaptability to meet the needs of a dynamic and changing organization
  • Organizational awareness with the ability to identify and understand key stakeholders and needs in the organization

Preferred Requirements:
  • Prior experience in financial services and/or wealth management
