Job description

We are looking for an experienced Executive Assistant to provide onsite support for leadership in Minneapolis, Minnesota in a part-time Contract role. This position is ideal for someone who can step in quickly, manage shifting priorities with confidence, and keep schedules, meetings, and communication organized in a fast-paced environment. The assignment is expected to continue through November, with a flexible schedule of approximately 20 hours per week across four or five days.
Responsibilities:
• Coordinate complex calendars for executive leadership, ensuring appointments, internal discussions, and key commitments are organized accurately.
• Arrange meetings from start to finish, including confirming attendees, reserving spaces, and preparing rooms before sessions begin.
• Respond quickly to last-minute scheduling adjustments and reorganize plans smoothly while keeping stakeholders informed.
• Collect updates and essential information from multiple departments to support executive decision-making and meeting preparation.
• Provide day-to-day administrative support to designated leaders and adapt to additional support needs as business priorities evolve.
• Use Outlook and other Microsoft Office tools to manage scheduling, correspondence, and routine administrative tasks efficiently.
• Help maintain an effective onsite office experience by anticipating logistical needs and keeping executive activities running smoothly.• Previous administrative or executive support experience in a detail-focused office setting.
• Strong working knowledge of Microsoft Office, with particular strength in Outlook calendar management.
• Proven ability to handle changing priorities, interruptions, and urgent rescheduling requests without losing attention to detail.
• Comfortable stepping into an active role with limited training and contributing effectively from the start.
• Excellent organizational skills and a high level of discretion when supporting leadership.
• Clear written and verbal communication skills for coordinating with executives and cross-functional teams.
• High school diploma required; additional college education is preferred.
