Job description

Executive One Holding Company, LLC is seeking a proactive, organized, and dependable Executive Assistant to provide day-to-day administrative, scheduling, travel, and office support to members of our executive team. This is a full-time, on-site position based in McLean, Virginia.

This role is well-suited for a polished administrative professional who has experience managing busy calendars, coordinating logistics, keeping an office organized, and communicating professionally with internal teams, vendors, visitors, and external partners. We are looking for someone with strong coordination skills, good judgment, attention to detail, and a proactive approach to keeping people and office operations on track.

Key Responsibilities
  • Manage executive calendars, including meetings, appointments, calls, and internal and external engagements.
  • Coordinate domestic travel arrangements, including flights, lodging, ground transportation, itineraries, and related logistics.
  • Prepare meeting materials, agendas, documents, virtual meeting links, conference room setup, catering, and follow-up items as needed.
  • Serve as a professional point of contact for executives, employees, visitors, vendors, clients, partners, and other stakeholders.
  • Track schedules, deadlines, action items, and open tasks to help executives and team members stay organized and prepared.
  • Draft, edit, proofread, and format correspondence, reports, presentations, and other business documents.
  • Assist with expense reports, invoice processing, purchase requests, supply orders, and other routine administrative needs.
  • Maintain organized files, records, documentation, and shared drive materials using company systems.
  • Help maintain a professional, organized, and welcoming office environment, including shared spaces, conference rooms, kitchen areas, and supply areas.
  • Coordinate office services, maintenance visits, deliveries, vendor support, building management requests, and other workplace logistics.
  • Support onsite meetings, team gatherings, company events, visitor arrangements, special projects, and internal coordination efforts.
  • Handle sensitive and confidential information with discretion and professionalism.
Qualifications
  • Prior experience in an administrative, office coordinator, scheduling coordinator, operations support, or similar coordination-heavy role.
  • Experience managing calendars, scheduling meetings, coordinating logistics, and tracking follow-up items.
  • Experience coordinating travel, appointments, vendors, or other detailed arrangements preferred.
  • Familiarity with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience with SharePoint or similar shared document management systems preferred.
  • Strong written and verbal communication skills with a professional and service-oriented demeanor.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities at once.
  • Ability to anticipate needs, take initiative, solve routine problems, and follow through without heavy oversight.
  • High level of discretion, reliability, sound judgment, and confidentiality.
  • Successfully pass a background check
