Job description

Position Overview
The Executive Administrative Assistant provides comprehensive administrative support to senior IT leadership at Burlington Stores including communications and partnership at all levels of the organization. This position has frequent exposure and access to sensitive, confidential, and proprietary information. The scope and complexity of this position require regularly addressing complex, diverse, and time-sensitive items that require substantive knowledge of the executive's areas of responsibility. This is a highly visible position with daily interaction with senior executives, as well as different management and associate levels across the organization.
A Day In The Life
  • Exercises discretion and autonomy in managing a wide variety of administrative items with varying levels of complexity, time-sensitivity, and confidentiality.
  • Communicate effectively on behalf of the executives supported with tact, diplomacy, and discretion in written and verbal communications.
  • Manage complex travel arrangements including multi-stop, multi-modal, and multi-traveler itineraries, ensuring specific Executive preferences and required company policies are followed and all travel details are documented on calendars or in written itineraries (based on Executive preference)
  • Pull and concisely compile data from multiple corporate systems (including store locations and mapping software) in support of store travel and in support of Board or other executive update meetings
  • Prepare Executive expense reports.
  • Review approval requests on behalf of supported Executives (expense reports, agreements, etc.) for accuracy and compliance with company policies.
  • Analyzes problems, determines approach, compiles & analyzes data, and prepares reports and/or recommendations for executive(s).
  • Create and manage spreadsheets including pivot tables and macros, visualization and dashboards, charts, and tables, importing and exporting critical data.
  • Create executive PowerPoint presentations including charts, graphs and importing and exporting of critical data.
  • Proactively create and maintain multiple executive calendars in alignment with Executive needs and preferences
  • Organize, coordinate, and/or support large and complex programs, events, or conferences by arranging for facilities and catering, issuing information or invitations, coordinating speakers, and oversite of event budget and overall management.
  • Effectively collaborate and partner with other EA staff in support of Board or other major meetings, to arrange travel, and to ensure continuation of EA coverage when on PTO or during other planned times of unavailability to the Executive
  • Flexibility, curiosity, and drive to support additional administrative and project related

You'll Come With
  • Must have strong MS Office skills, including Word, Excel, Power Point, Outlook, and Teams.
  • Must have strong administrative skills, inclusive of verbal, written and efficient typing skills.
  • Must be able to meet deadlines in a fast-paced work environment with ease and flexibility.
  • Must have excellent organizational skills with the proven ability to independently manage competing tasks/priorities.
  • Demonstrated proficiency managing multiple executive calendars including complex travel and large meeting coordination and scheduling.
  • Budget and expense management experience.
  • Experience working in a corporate environment for a large employer with multiple corporate and operations locations across different time zones.
  • Flexibility to provide or arrange for occasional after-hours support (up to 8pm)
  • Willingness to work in-office as needed to support the Executives (up to 3 days per week)

Compensation Range: $25.15 - $40.00 /hr
