Job Summary
Orange Beach City Schools
Job Title: Executive Secretary
Reports to: Director or Coordinator as assigned
Job Goal: To assist in the smooth and efficient operation of the department(s) assigned
Qualifications:
  • Holds a high school diploma or equivalent
  • Post-secondary training at a technical or business college is preferred
  • Successful experience as a secretary
  • Ability to use technology to communicate, manage data, produce/submit required reports, correspondence, and/or school information
  • Proficiency in oral and written communication skills
  • Demonstrates aptitude or competence for assigned responsibilities
  • Alternatives to the above qualifications as the Board might find appropriate and acceptable
Performance Responsibilities:
  • Performs the usual office routines and practices associated with a busy office
  • Maintains a current filing system, and processes incoming documents accordingly
  • Receives phone calls and greets all guests in a cordial and friendly manner
  • Uses effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups
  • Types and enters data, organizes and retrieves files, prepares and submits reports, handles correspondence as assigned, and performs various clerical functions
  • Operates word processing software, data entry software, and office computer applications
  • Maintains schedule of appointments for assigned administrator(s)
  • Assists in the preparation of ALSDE reports and other reports as required
  • Assists in posting all job vacancies
  • Maintains certified personnel records that include but are not limited to applications, credentials, teaching certification, evaluations, transcripts
  • Create and maintain a support substitute list
  • Demonstrates initiative in identifying opportunities for improvement in areas of responsibility
  • Maintains confidentiality of all confidential information concerning personnel
  • Promotes public and community support for the school system by performing job duties and interacting with students, parents, staff, and the public courteously and proactively
  • Properly uses and cares for equipment and material resources of the school system
  • Supports and complies with school system rules, administrative procedures, local Board policies, and state, federal, and local regulations
  • Performs other tasks and assumes other responsibilities as may be assigned by supervisor(s)

Terms of Employment/Salary: 12 month (240 Days) Non-Exempt / To be determined, commensurate with local salary matrix, credentials, and experience.
Evaluation: Performance to be evaluated in accordance with provisions of the Board's policy on Evaluation of Certified/Classified Personnel.
