Senior Associate/Executive Administrator Kittleman & Associates

Position Summary The Senior Associate/Executive Administrator is responsible for providing search support to Principal Consultants and directing the strategies for, and management of, candidate identification and development. The Senior Associate/Executive Administrator is a key partner to the Principal Consultant and clients, providing strong project management throughout the search process to ensure key objectives of each engagement are met at a high level. They are engaged in all facets of the search strategy and operations within the firm.


Major Responsibilities Client-Related

  • In partnership with the Principal Consultant, serve as the project manager in day-to-day activities of executive searches.
  • Attend and participate in client phone/video calls and in-person meetings as needed.
  • Support networking of search opportunities by speaking with sources, possible candidates, and sources of candidates.
  • Screen, qualify, and interview potential candidates for active searches.
  • Communicate with clients and candidates throughout the search process.
  • With input from Principal Consultant, draft/edit and finalize client documents, including the Position Guide.
  • For onsite interviews, coordinate activities for candidate interviews, including but not limited to ordering meals, reserving conference space, etcโ€ฆ
  • Check candidate references, initiate candidate background checks, and prepare reports for clients.
  • Develop and implement outreach strategies and communication with input from the Principal Consultant; coordinate research assistance.


Business Development

  • Conduct research on prospective clients to aid Principal Consultants in the preparation of new business pitch.
  • With input from Principal Consultants, prepare custom proposals for new business.
  • Participate in and assist Principal Consultant in presentations for new business, as needed.


Administrative

  • Participate in developing and improving client services and long-range planning.
  • Attend search operations meetings and provide search assignment updates, feedback, advice, and encouragement to team members. Attend monthly all-staff meetings and company annual meeting.
  • Interface with and update Kittleman database as it relates to search activity (client/candidate/prospect data; client expenses).


Requirements

  • A minimum of 5 years of experience in a professional services setting is required, executive search or staffing experience is strongly preferred.
  • Experience working in a team environment that has both self-directed and collaborative activities.
  • Customer service approach with flexibility and adaptability as key attributes.
  • Strong organizational, problem solving, and project and time management skills.
  • Experience working with a database is preferred.
  • Exceptional communication in both verbal and written form.
  • Team-player and collaborative in executing work.
  • Thoughtful and proactive work-ethic that is grounded in a commitment to service and excellence.
  • Positive attitude and good sense of humor.
  • Preferred experience: working with AI tools and building smart automation in the cloud.
  • Strong fluency in Microsoft Office suite.


Salary & Benefits The salary range for this position annually is $75,000-$85,000 and will be commensurable with experience. A competitive benefits package is also offered including annual bonus potential, 100% company coverage toward the healthcare employee only premium, a 401(k) with an employer match of 4%, plus vacation days, paid holidays, and other benefits.
