Job description

Better Companies is a multi-brand financial services organization providing debt relief, tax support, and business funding solutions. We're strengthening our operations, refining our systems, and building a more cohesive, efficient experience across our brands. Our approach is grounded in transparency, strong operational foundations, and well-structured processes that support reliable execution and scalable growth.

Under our umbrella, Better Debt Solutions focuses directly on empowering individuals and families facing financial hardships. We provide transparent, high-impact debt relief programs that help our clients break free from debt, regain their independence, and rebuild their financial futures.

Our COO is looking for a high-energy, exceptionally organized, and tech-forward Executive Assistant to run point on daily logistics, communications, and administrative operations. While we are looking for someone with a few years of foundational experience under their belt, we care much more about your drive, intelligence, and technical capability than a decades-long resume. This role is ideal for a sharp, proactive professional who moves fast, anticipates needs before they happen, and naturally leverages technology to get things done efficiently.

Classification: Full-Time, Exempt

Compensation: $85,000 - $100,000 / year

Working Hours: Standard hours are Monday through Friday, structured around a typical 8-hour working day. However, supporting a C-suite executive is rarely a strict punch-in, punch-out job. When high-priority deadlines hit, or unexpected issues arise, you may be requested to work outside the normal standard hours. If you thrive on a dynamic, fast-moving day and don't mind a schedule that adapts to the business's needs, you'll fit right in.

Who You Are
  • High Energy & Proactive: You bring positive urgency to your work. You don't wait for a checklist; you see a gap, find a solution, and keep things moving forward.

  • Resilient & Unflappable: This is a fast-paced role that comes with real pressure. We need someone who stays calm when things get chaotic, handles direct feedback constructively, and focuses on finding solutions rather than getting easily stressed or overwhelmed.

  • Tech-Savvy & AI-Fluent: You don't just know Microsoft Office and Google Workspace-you know how to use modern tech and AI tools (like ChatGPT, automation workflows, or scheduling tools) to work smarter, speed up tasks, and organize information.

  • Adaptable: You can pivot quickly when priorities change and handle personal errands or high-level corporate tasks with the same level of focus.

  • Discreet & Professional: You will handle sensitive company and personal information daily. Total discretion is a hard requirement.

Core Responsibilities
  • Calendar & Communication: Manage the COO's complex professional and personal schedule. Filter incoming emails, field calls, and prioritize what needs his immediate attention.

  • Meeting & Project Support: Attend key meetings to take clear notes, document action items, and follow up with team members to ensure projects stay on track.

  • Logistics & Travel: Coordinate domestic and international travel, including flights, hotels, ground transportation, and dining arrangements.

  • Liaison: Act as a clear, professional point of contact between the COO and internal teams, clients, and external partners.

  • Daily Operations: Handle standard administrative tasks (organizing digital files, prepping spreadsheets, drafting memos) and assist with personal errands as needed to maximize the COO's time.

Requirements
  • Experience: 3+ years of prior administrative or operational support experience (ideally 4+ years).

  • Communication: Clear, direct, and professional verbal and written communication.

  • Tech Skills: Deep comfort learning new software quickly. Explicit experience using AI tools to optimize your workflow is highly valued.

  • Physical Demands: This is an indoor office role. You should be comfortable sitting for extended periods, using standard office equipment, and occasionally lifting up to 25 pounds.

We are an Equal Opportunity Employer and consider all qualified applicants without regard to race, color, religion (including religious dress and grooming practices), sex (including pregnancy, childbirth, breastfeeding, and related medical conditions), gender, gender identity, gender expression, sexual orientation, marital status, national origin, ancestry, age, physical or mental disability, medical condition, genetic information, military or veteran status, or any other status protected by applicable federal, state, or local laws.  We are committed to providing reasonable accommodations and to maintaining a workplace free from discrimination and retaliation.
