ABOUT THIS ROLE
We are looking for a Senior Receptionist to join our corporate office in Buena Park, CA. This position will play a key role in leading and supporting the Front Desk and the Administrative team. As a Senior Receptionist, you will report directly to the Executive Assistant and primarily be responsible for being the liaison between the Executive Assistant and the Front-Desk Receptionists. The ideal candidate must be bi-lingual in English and Spanish speaking.
Responsibilities:
  • Assist senior-level managers and executives by screening calls, managing calendars, meetings and events arrangements.
  • Lead, assist and support the front-desk receptionists with the team's responsibilities.
  • Assist the Administrative Assistant with creating and inputting information on our calendars.
  • Assist employees with conference room requests via email.
  • Write and distribute emails as needed.
  • Answer and transfer calls to the proper department.
  • Keep all files up to date and organized in the front desk area.
  • Perform other duties as assigned or requested by the Executive Assistant & Administrative Assistant.
  • Stay current on emails and Teams messages to stay informed.
  • Receive and log all incoming FedEx, Amazon, Staples, DHL, and USPS packages.
  • Notify employees about the arrival of their packages via email.
  • Send emails to notify the Front Desk team of when the executives arrive or when they are in the office.
  • Buzz in the executive team when they enter the lobby.
  • Relay reminders to the executive and administrative assistant as needed.
  • Ensure that visitors sign in and notify the appropriate person of their arrival.
  • Ensure that employees sign in when they do not have a badge.
  • Distribute visitor badges to out of state employees who are visiting the office.
  • Follow up with visitors and employees who are borrowing visitor badges and remind them to return their badge.
  • Ensure that the incoming mail is being distributed to the appropriate department based on the content of the mail.
  • Stamp and seal any outgoing mail and charge to the correct department when sending out mail.
  • Receive emails from the Executive and Administrative Assistant, read instructions, and properly prepare documents for executives' signature.
  • Keep track of FedEx packages that the front desk team sends to executives until completed.
  • Maintaining the inventory of supplies fully stocked for the front desk.
  • Follow up on pending items such as expected packages, mail, or reminders.
  • Maintain clear communication between the front desk team via email and Teams.
  • Assist the Executive and Administrative Assistant in printing, scanning, and filing.
  • Maintain a professional demeanor under fast pace working environment.
Qualifications:
  • High School diploma or General Education Diploma (GED)
  • Excellent written and verbal communication skills in English and Spanish is required
  • Must have experience as a receptionist or similar position with a plus of interacting with all levels of management and staff, outside clients, and vendors
  • The key characteristics this individual must possess are excellent phone etiquette, being detail-oriented and well organized
  • Ability to have sensitivity to confidential matters, work well with others, multi-task, and thrive in a fast-paced environment
  • Knowledge and experience with MS Office such as Excel, Word, PowerPoint, and Outlook
  • Exceptional attention to details

Ria Money Transfer offers a competitive salary and benefits package. The reasonable estimated pay for this (Non-exempt hourly rate) role ranges from ($25.00 USD to $27.00 USD). Actual compensation is based upon factors such as the candidate's skills, qualifications, and experience.
