This Executive Assistant role supports the EVP, Chief Strategy & Revenue Officer, while also serving as a key partner across several high-impact functions, including Marketing, Digital, Finance, and Risk. Key Responsibilities
  1. Administrative Support

  • Manages, monitors and ensures executives' appointments and meeting schedules are met without conflicts.
  • Receives and analyzes executive's incoming e-mails and phone calls for prioritization and potential independent action.
  • Supports Executives and their direct reports with administrative tasks.
  • Administers and coordinates reservations and travel arrangements for executives' and their direct reports' attendance at conferences, seminars and meetings, including airline, hotel and car reservations. Obtains discounted rates and special fares whenever possible. Prepares and submits corporate Visa and personal expense reimbursement forms, including mileage reports.
  • Acts as a backup to other executive assistants when necessary.
  • Performs other related administrative duties and special requests as assigned.
  1. Project and Strategic Support
  • Manages Business Development meetings and processes including but not limited to ensuring Key Performance Indicators (KPI's) are populated, coded correctly, and are documented/recorded timely on spreadsheets.
  • Collects Engagement, Exit, and Onboarding Survey data results and prepares them for analysis and review.
  • Responsible for managing the Training Database including but not limited to recording attendance at Learning & Development programs, compiling reports, and other duties as assigned.
  • Responsible for assisting with New Hire Orientation and entry level onboarding tasks.
  • Manage New Hire Orientation: Logistics, Scheduling, and Onsite Support.
  • Handles meeting preparations and attends various onsite and offsite meetings including a variety of teams and committees. Preparations include preparing agendas, distributing meeting invitations, securing meeting room, confirming attendance, coordinating catering, recording and transcribing minutes for executive review.
  • Responsible for keeping all related printed and electronic documents and websites utilized by executives and the Board, current, secure, and confidential.
  • Composes, types and proofreads a wide variety of communications including interoffice memorandums and emails, correspondence, and other Credit Union documents, frequently confidential in nature.
  • Ensures the accuracy and integrity of data entered into various systems and databases, maintaining meticulous attention to detail to prevent errors.
  • Provides research for complex issues and presents findings in an organized fashion.
  • Provides suggestions where possible for cost/efficiency improvements to enhance productivity.
  • Utilizes authorized AI tools (e.g., Microsoft Copilot, ChatGPT, etc.) to automate routine tasks such as drafting communications, summarizing reports, taking meeting minutes, and organizing data.
Competencies & Skills:
  • Has ability to learn and directly apply AI tools to streamline administrative and operational tasks.
  • Is comfortable working with basic IT systems, access management platforms, and Microsoft Excel.
  • Demonstrates adaptability and curiosity in learning new tools and technical concepts to better support executive leadership.

Education and/or Experience
Associates' Degree or five to seven years related experience; with at least three years providing support to executive level management; or equivalent combination of education and experience. Proven administrative skills and operation of a personal computer and other office equipment. Experience in a Credit Union environment strongly preferred. While this level of expertise will generally be attained with a minimum of three years in a previous executive assistant role and High School Diploma/GED. Must have experience working with an Enterprise System i.e. ADP, Salesforce, FinancialEdge, etc. Priority will be place upon the demonstration of the ability to meet qualifications without an absolute focus on duration of experience, in recognition that the attainment of such qualifications may be obtained at different paces by different individuals.
Ability to operate a personal computer with a high level of proficiency in such software applications as PowerPoint processing, spreadsheets, Internet and Email. Ability to operate a fax, calculator and copier.
