Executive Assistant
Marposs Group is a global leader providing measurement, inspection and testing cutting edge solutions for quality and process control in the workshop environment, serving all major automotive and machine tools manufacturers, as well as the aerospace, biomedical, electronics, energy, glass containers and white goods sectors.
In order to reinforce our growth plans in North America, Marposs Corporation has an opening for an Executive Assistant.
Reporting to the President, the Executive Assistant provides high-level administrative, organizational, and financial support to the President and executive leadership team. This position requires a high degree of professionalism, discretion, attention to detail, and the ability to effectively manage multiple priorities in a fast-paced international environment.
Responsibilities:
  • Provides comprehensive administrative and organizational support to the President.
  • Manages the President’s calendar, meetings, appointments, and travel arrangements.
  • Works closely with the President and Accounting Manager on financial and management reporting.
  • Prepares, analyzes, and maintains financial reports and business performance reports.
  • Maintains an organized, professional, and welcoming executive office environment.
  • Ensures the executive office and common areas are appropriately stocked with coffee, beverages, snacks, and other supplies.
  • Coordinates ordering and replenishment of office and executive area supplies as needed.
  • Assists with executive visits, meetings, company events, and hospitality needs.
  • Coordinates and follows up on action items resulting from management meetings.
  • Assists the President with special projects and other business initiatives as needed.
  • Coordinates domestic and international travel arrangements for the President and visiting executives from Italy, including flights, hotels, transportation, and itineraries.
What we are looking for
  • Previous experience as an Executive Assistant, Administrative Assistant, Accounting, Finance, or similar role.
  • Strong understanding of basic accounting and financial principles.
  • Experience working with financial reports, expenses, invoices, budgets, or other accounting-related information.
  • Proficiency in using office productivity tools such as Microsoft Office Suite, including advanced skills in word processing, spreadsheet management, and presentation software.
  • Exceptional organizational skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
  • Strong verbal and written communication skills, enabling effective interaction with executives, colleagues, and external stakeholders at all levels.
  • Demonstrated ability to maintain confidentiality, exhibit tact and diplomacy, and handle sensitive information with the utmost discretion.
