We are seeking an Account Executive Admin to join our Freight Operations team. This role plays a critical part in supporting Account Executives through accurate load coordination, proactive communication, and detailed administrative execution. The position ensures that load data, tracking updates, and documentation are complete and reliable, directly contributing to on-time service, optimized capacity utilization, and efficient billing processes.


This position is ideal for someone who thrives in a fast-paced logistics environment, enjoys problem-solving, and takes pride in accuracy, organization, and supporting operational success.


This position is onsite Monday - Friday, 8:00 AM to 5:00 PM.

What' You'll Do

  • Update and maintain accurate ETA and load information across internal and customer systems
  • Proactively track and trace loads to ensure on-time pickups, deliveries, and overall service performance
  • Identify and communicate potential delays or service disruptions before customer impact
  • Coordinate with Drivers and internal teams through professional phone and email communication
  • Escalate urgent issues and support timely problem resolution
  • Enter and validate freight opportunities and load details with a high level of accuracy
  • Maintain rate confirmations and ensure all shipment documentation is complete prior to execution
  • Support pricing awareness and bid preparation through market insights and historical data
  • Obtain Proofs of Delivery (PODs) and assist with timely billing processes
  • Track and document accessorial charges (e.g., detention, layovers, TONU, TRA) for accurate billing


Qualifications

  • High school diploma or equivalent required
  • Minimum of three (3) years of clerical or administrative experience, including customer service or multi-line phone systems
  • Strong organizational skills with the ability to manage multiple priorities and maintain accuracy
  • Excellent verbal and written communication skills
  • Ability to actively listen, ask questions, and communicate clearly across teams
  • Ability to work independently and follow direction in a fast-paced environment
  • Proficiency with Microsoft Office and general computer systems


Physical Requirements

This position is primarily office-based and includes:

  • Prolonged periods of sitting and working on a computer
  • Frequent use of phone, keyboard, and office equipment


Screening Requirements

May include motor vehicle check, drug screen, and criminal background check.
