Job description

EXECUTIVE ASSISTANT
We are seeking an experienced and energetic Executive Assistant with excellent verbal and written communication skills to join our Corporate Office in Woburn, MA. The Executive Assistant will report directly to the Chief Financial Officer, Owners, and Controllers, while also providing support to the Accounting Department. This is a dynamic role for a polished professional who thrives in a fast-paced environment, takes initiative, and brings a positive, can-do attitude to everything they do.
This is a fully on-site position based in our Corporate Office in Woburn, MA.
As an Executive Assistant, your primary responsibilities include:
  • Providing high-level administrative support to the CFO, Owners, and Controllers
  • Preparing and distributing report packages and maintaining various departmental schedules
  • Assisting with the year-end process and supporting the Accounting Department
  • Opening bank accounts and reading, reviewing, and interpreting documents such as contracts, proposals, bank agreements, partnership documents, and spreadsheets
  • Scheduling appointments, preparing outgoing mail, routing incoming mail, and greeting visitors
  • Managing competing priorities with discretion, accuracy, and attention to detail
  • Partnering across departments to keep executive priorities moving forward.
What You Bring to Us:
  • Prior experience in an Executive Assistant or senior administrative support role
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Word and Excel; knowledge of Access or other database software is a plus
  • Experience with desktop publishing is a plus
  • Strong mathematical skills
  • The ability to multi-task, meet deadlines, and work independently
  • A positive, can-do attitude and a sharp, professional appearance
