The Executive Assistant serves as a trusted partner to the President and Chief Marketing Officer, playing a key role in helping the executive office and broader organization operate smoothly and efficiently. This position supports complex scheduling, travel and event coordination, executive communications, strategic initiatives, and day-to-day operational priorities across a dynamic and growing organization.

What You'll Do

  • Executive Partnership & Strategic Support
    • Work in close partnership with the President and CMO, managing complex calendars and competing priorities with strategic intent
    • Protect executive time by proactively identifying conflicts, coordinating priorities, and ensuring alignment across initiatives
    • Handle confidential and sensitive matters with professionalism and discretion
    • Act as a liaison between the executive office and internal teams, external partners, and key stakeholders
    • Track action items, follow-ups, and commitments to ensure timely execution
  • Communications & Stakeholder Management
    • Draft and manage executive communications including emails, talking points, memos, and briefings
    • Serve as a polished point of contact for executives, board members, clients, and external partners
    • Coordinate communication across teams, departments, and time zones to keep priorities moving forward efficiently
  • Logistics, Events & Project Coordination
    • Coordinate travel arrangements, itineraries, and real-time schedule adjustments
    • Organize executive meetings, leadership events, and special projects from planning through execution
    • Support high-priority initiatives by tracking timelines, deliverables, and dependencies
    • Partner with Talent Acquisition and leadership teams to coordinate executive interview logistics and candidate experiences
  • Document Preparation & Administrative Support
    • Create polished presentations, briefing documents, and executive-level reports
    • Manage expense reporting, invoice processing, and budget tracking for the executive office
    • Maintain organized filing systems, contact databases, and document libraries
  • Front Office & Organizational Presence
    • Represent the executive office with professionalism, warmth, and executive presence
    • Help create a welcoming experience for clients, VIP guests, and business partners
    • Support front office responsibilities as needed, including receiving mail and deliveries

What We're Looking For

  • 3–5+ years of executive assistant or chief of staff experience supporting senior leadership
  • Proficiency in Microsoft Office Suite and digital collaboration tools

  • Bachelor's degree preferred or equivalent professional experience
