Job description

We are seeking an experienced Executive Assistant to join our team at our Global Support Center in Scottsdale, Arizona.

What You'll Do:

Executive Support & Prioritization

  • Manage the CEO's complex calendar, meetings, travel, expenses, and competing priorities, proactively anticipating needs and resolving conflicts.
  • Serve as a trusted liaison between the CEO and senior leaders, Team Members, business partners, and other key stakeholders, demonstrating Respect and professionalism in every interaction.
  • Handle confidential and sensitive information with a high degree of discretion, judgment, and professionalism.
  • Provide proactive, hands-on day-to-day support to the CEO by anticipating and addressing needs related to meals and beverages, materials, workspace readiness, scheduling logistics, and other details that enable the CEO to operate effectively throughout the day, demonstrating Passion for service and Excellence in the details.

Executive Communications & Materials

  • Create polished, executive-ready PowerPoint presentations, Word documents, correspondence, agendas, reports, and other materials from concept through completion, reflecting a consistent commitment to Excellence and high standards.
  • Gather, organize, and synthesize information to prepare the CEO for meetings, presentations, business reviews, and key discussions.
  • Draft, edit, and proofread executive communications to ensure clarity, accuracy, consistency, and alignment with organizational priorities.

Meetings, Projects & Follow-Through

  • Coordinate executive and leadership meetings, including agendas, materials, action items, decisions, and follow-up.
  • Track projects, commitments, deadlines, and outstanding action items on behalf of the CEO, demonstrating discipline and accountability by proactively following up with stakeholders to drive timely completion.
  • Support special projects and strategic initiatives by coordinating across functions, monitoring progress, and identifying issues requiring attention.

Business Partnership & Continuous Improvement

  • Develop a strong understanding of P.F. Chang's mission, vision, values, business priorities, and key initiatives to provide proactive and informed support to the CEO.
  • Exercise sound business judgment in prioritizing requests, anticipating challenges, and resolving matters independently when appropriate.
  • Demonstrate Innovation by identifying opportunities to improve executive processes, communication, organization, and overall effectiveness.
  • Build collaborative relationships across the organization grounded in Respect, partnership, and a shared commitment to advancing company priorities.

Workplace Experience Leadership

  • Directly supervise the Workplace Experience Assistant by setting clear expectations and priorities, providing day-to-day direction, coaching, feedback, development, and performance management, and holding the role accountable for high standards consistent with P.F. Chang's PRIDE values.
  • Provide oversight of workplace operations carried out by the Workplace Experience Assistant, including front desk and visitor support, mail and shipping, office supplies, meeting and event logistics, facilities and vendor coordination, and workplace readiness to ensure a welcoming, organized, safe, and service-focused environment.
  • Monitor workload, service levels, and follow-through; help remove or escalate barriers, identify opportunities to improve the Team Member experience, and coordinate coverage or provide hands-on backup for essential responsibilities when needed to ensure business continuity.
  • Perform other duties and special projects as assigned.

What You'll Bring:

  • Bachelor's degree in Business Administration, Communications, Management, or a related field preferred.
  • 6+ years of progressively responsible executive administrative experience, preferably supporting a CEO, President, or other C-suite leader.
  • Advanced proficiency in PowerPoint and Word, with demonstrated ability to create polished presentations and documents from scratch; strong working knowledge of Outlook, Teams, and Excel.
  • Strong service-oriented mindset with a willingness to personally handle both strategic support and everyday details, demonstrating flexibility and a genuine commitment to anticipating and meeting the CEO's needs.
  • Ability to set clear expectations, prioritize and delegate work, coach and develop others, provide constructive feedback, and hold a direct report accountable for results.
  • Experience managing complex calendars, executive communications, confidential information, and multiple competing priorities.
  • Experience in a fast-paced corporate environment; restaurant, hospitality, retail, consumer-facing, or multi-unit experience is a plus.
  • Strong business acumen, sound judgment, and discretion.
  • Exceptional organization, prioritization, attention to detail, and follow-through.
  • Strong written and verbal communication skills, including the ability to synthesize information into clear, executive-ready materials.
  • Proactive, resourceful problem solver who anticipates needs and works independently.
  • Ability to manage multiple priorities, shifting demands, and sensitive situations with professionalism and composure.
  • Strong relationship-building and collaboration skills across all levels of the organization.

Location:

This is primarily an office-based position located at the P.F. Chang's Global Support Center in Scottsdale, Arizona 85255. Candidates must currently reside in the greater Phoenix area and live within a reasonable commuting distance of the office.
