Job description

About Veterinary United

Veterinary United is a veterinarian-owned organization dedicated to advancing companion animal healthcare through exceptional medicine, outstanding client experiences, and a culture centered on people. Today, Veterinary United includes approximately 25 veterinary hospitals and companion service businesses across Michigan, supported by more than 500 team members.

As our organization continues to grow, we are seeking an exceptional executive professional who thrives on organization, communication, execution, and creating capacity for executive leadership.

Position Overview

This is not a traditional Executive Assistant position.

The Senior Executive Assistant serves as the Executive Partner to Veterinary United’s CEO and President, acting as the trusted operational extension of the Executive Office.

This individual will help organize executive priorities, coordinate communication, manage complex schedules, oversee executive projects, ensure consistent follow-through, and create the structure that allows executive leadership to remain focused on strategy, growth, and organizational leadership.

The ideal candidate enjoys bringing order to complexity, anticipates needs before they arise, and takes ownership of ensuring important work moves from discussion to execution.

Work Environment

This is a full-time, in-person position based primarily from Veterinary United’s corporate office in Southeast Michigan.

The successful candidate will work alongside the CEO and President daily and will periodically coordinate administrative activities at designated executive work locations as business needs require.

This is not a remote or hybrid position.

Because success in this role depends upon close collaboration, communication, and responsiveness to executive leadership, regular in-person presence is an essential function of the position.

Primary ResponsibilitiesExecutive Leadership Support
  • Manage complex calendars for the CEO and President
  • Organize and prioritize executive email communications
  • Draft correspondence and coordinate executive follow-up
  • Coordinate meetings, agendas, and executive schedules
  • Prepare briefing materials and meeting documentation
  • Track commitments, projects, and action items through completion
  • Serve as a trusted liaison with internal leaders and external partners
  • Protect executive time through thoughtful prioritization
Executive Office Coordination
  • Coordinate strategic initiatives and executive priorities
  • Maintain executive task management systems
  • Monitor project progress across multiple departments
  • Improve executive workflow and organizational systems
  • Organize executive files, confidential records, and key documents
  • Assist with presentation development and executive communications
  • Coordinate board, leadership, and strategic planning meetings as needed
Executive Logistics
  • Coordinate business travel, itineraries, and accommodations
  • Schedule executive events and external meetings
  • Manage registrations, memberships, and professional commitments
  • Ensure executive calendars remain aligned with organizational priorities
Executive Work Environment Coordination

Support administrative operations across multiple executive work environments by coordinating:

  • Vendors and service providers
  • Maintenance scheduling
  • Business-related records and documentation
  • Billing coordination and service tracking
  • Home office organization and administrative projects
  • Executive logistics between designated work locations

This role is centered on coordination, organization, communication, and execution, rather than hands-on property management.

What We’re Looking For

We’re seeking someone who naturally takes ownership.

The ideal candidate:

  • Anticipates needs before being asked
  • Creates organization from complexity
  • Demonstrates exceptional follow-through
  • Communicates professionally with executives and senior leaders
  • Exercises outstanding judgment and discretion
  • Maintains absolute confidentiality
  • Thrives in a fast-paced environment where priorities evolve quickly
  • Enjoys solving problems and improving systems
  • Builds trust through reliability and consistency
Preferred Experience

We welcome candidates with experience in roles such as:

  • Senior Executive Assistant
  • Executive Business Partner
  • Chief of Staff Support
  • Executive Administrator
  • Executive Project Coordinator
  • Executive Office Administration
  • Family Office Administration
  • Private Office Management

Experience supporting founders, CEOs, business owners, healthcare executives, or entrepreneurial leadership teams is highly valued.

Success in This Role

Within your first year, you will have become the trusted operational partner to the CEO and President by:

  • Creating exceptional organization around executive priorities
  • Ensuring consistent communication and follow-through
  • Removing administrative bottlenecks
  • Improving executive workflow and efficiency
  • Coordinating projects that move seamlessly from planning to execution
  • Allowing executive leadership to spend more time leading the organization and less time managing administrative complexity
Why Join Veterinary United?

This position offers a unique opportunity to work directly alongside the leadership of one of Michigan’s premier veterinary organizations.

You will gain exposure to executive decision-making, strategic initiatives, healthcare leadership, organizational growth, acquisitions, and executive operations while making a meaningful impact on the future of the organization.

If you’re looking for a role where you can build trust, create organization, and become an indispensable partner to executive leadership, we’d love to hear from you.
