Job Description
Influential is seeking an experienced Executive Assistant to support our Chief Client Officer and President of Onefluential in all aspects of their day to day workload. The ideal candidate is an insanely organized human who is self-starting, handles pressure with ease, and can maintain a balanced schedule as easily as they can set up a board meeting.
This is a high visibility, high-impact role that sits at the center of executive operations - requiring exceptional judgment, discretion, and the ability to anticipate needs in a fast-moving, global organization.
The Executive Assistant will serve as a trusted partner and operational anchor to a senior leader, managing complex schedules, communications, events, travel, and priorities with precision and poise. This individual will also play a key coordination role across internal teams, senior stakeholders, and external partners, acting as a critical extension of executive leadership.
Responsibilities
  • Completes a broad variety of administrative tasks for the C-Suite including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the executive schedule is followed and respected.
  • Track action items, decisions, and deliverables arising from meetings, ensuring timely follow-through across stakeholders
  • Organize and manage calendars and contacts.
  • Dive into any projects that may come up while prioritizing conflicting needs. Help coordinate with outside teams as necessary.
  • Works closely and effectively with the executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping executives updated and informed.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects which may have organizational impact.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Manage inbound requests with professional judgment, triaging and prioritizing based on business urgency and relevance
  • Represent the executive office with the highest level of professionalism in all written and verbal communications

Qualifications
  • Preferred bachelor's degree or relevant experience.
  • 10+ years of executive assistant experience, supporting senior C-suite leadership in a corporate environment
  • Experience in media, advertising, consulting, or a fast-paced holding company environment strongly preferred
  • Exceptional organizational skills with the ability to manage multiple priorities and shifting deadlines simultaneously
  • Expertise to seamlessly interact with a wide range of personalities and work styles.
  • Ability to treat highly confidential information with care and discretion.
  • You're organized, enjoy taking care of multiple things at once, and can engage collaboratively with individuals at all levels.
  • Experience and interest in internal and external communications, partnership development, and influencer marketing
  • Proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint, CoPilot), Google Suite (Docs, Sheets, Slides, Forms), project management tools, and travel booking platforms
  • Ability to operate with autonomy and thrive in ambiguity within a global, matrixed organization
  • Willingness to be available outside of standard business hours as needed given the nature of executive-level demands

Compensation Range: USD $60,800.00 - USD $93,600.00/Annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
