Job description

Position Summary:

The Executive Assistant provides high-level administrative, operational, and strategic support to the Chief Marketing & Communications Officer (CMO) and the Marketing, Communications & Events (MCE) group. This role serves as a trusted partner responsible for managing executive operations, coordinating group initiatives, overseeing administrative and budget-related processes, and ensuring the efficient day-to-day functioning of the MCE group.
The position combines executive support, office management, financial coordination, employee onboarding, and stakeholder engagement responsibilities. The ideal candidate is highly organized, proactive, resourceful, and capable of managing multiple priorities in a fast-paced environment.  

Duties and Responsibilities:

Executive Support & Leadership Coordination
  • Provide comprehensive executive support to the CMO, including calendar management, meeting coordination, travel arrangements, expense administration, and preparation/editing of correspondence, presentations, talking points, and other executive materials.
  • Support and track MCE projects, deadlines, and action items.
  • Serve as a liaison between the CMO, VPs, Directors, other staff, and external stakeholders.
Office Management & MCE Group Operations
  • Oversee daily office operations to ensure an efficient, organized, and productive work environment.
  • Develop, implement, and maintain administrative procedures and office practices.
  • Partner with IT and other internal teams to address technology, equipment, office supply, and operational support needs.
  • Maintain group records, files, and documentation.
Budget Administration & Financial Coordination
  • Coordinate annual budget planning and assist CMO with budget development, forecasting, expenditure tracking, and financial reporting.
  • Process invoices, purchasing card reconciliations, payment requests, and other financial transactions while monitoring MCE budget performance.
  • Coordinate vendor management activities, including contract administration and pricing discussions.
Employee Support & Onboarding
  • Coordinate onboarding activities for new employees, including workspace preparation, equipment requests, and orientation support.
  • Manage the CMO Direct Report time-off requests and other administrative personnel processes.
  • Coordinate training opportunities and cross-functional knowledge sharing.
  • Serve as a resource for administrative and operational questions from team members.
  • Other duties, as assigned

Qualifications:

  • 2+ years of executive operations or administrative support experience required.
  • Experience coordinating budgets, expenses, financial reports, and departmental operations.
  • Experience managing complex calendars, travel, and special projects.
  • Experience in professional associations preferred.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Able to manage competing priorities with accuracy and attention to detail.
  • Strong interpersonal skills and ability to build effective working relationships.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Problem-solving and critical-thinking abilities.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.

Compensation: $75,000-$90,000.

NAR is on a hybrid schedule and in the office 3 days a week.
