The position:

The Executive Assistant position serves as the central point of contact and support for our Executive Leadership Team to achieve business objectives by organizing and effectively leveraging the time, priorities, and scheduling of our Chief Executive Officer and President using independent judgment and discretion. This includes, but is not limited to, communications, scheduling, and preparation. This position manages and maintains knowledge to influence, connect, and leverage relationships/networks, business tools, and information to strategically drive effectiveness and efficiency of time and attention of Merit’s leadership.

Responsibilities

Executive Support & Administration

  • Independently manage complex, high-volume calendars for the CEO and President, including scheduling across internal and external stakeholders, identifying what and how items are prioritized
  • Coordinate meetings, prepare agendas and materials as requested, and track logistics to ensure meetings run smoothly; ensure meetings conducted as expected and support executive preparation in advance
  • Coordinate and prepare executive meetings, including room setup, audiovisual arrangements, materials distribution, and day‑of logistics to ensure a seamless meeting experience.
  • Independently manage all travel arrangements, itineraries, and expense reconciliation

Coordination & Follow-Up

  • Partner with the Chief Administrative Officer to ensure executive priorities are supported through effective scheduling and timely follow-up
  • Assist in cross-departmental coordination in support of information gathering, updates, and material generation
  • Drive and execute on administrative aspects of executive initiatives at the behest and direction of the Chief Administrative Officer, Chief Executive Officer, and President

Relationship & Interface Management

  • Serve as a professional, polished point of contact between executives and internal/external stakeholders, effectively influencing and guiding direction at the behest of the executive
  • Welcome and coordinate guests, clients, and partners as needed
  • Frequently maintains discretion and confidentiality at all times with sensitive and confidential matters

Operational & Office Support

  • Maintain organization of executive files, records, and systems; identifying opportunities for improvement, recommendation and implementation of enhancements
  • Planning and logistics for select executive meetings or events (internal or external)
  • Serve as backup support for phones or front desk coverage, when necessary
  • Manage, organize, and maintain executive office spaces
  • May provide leadership in best practices for administrative support staff as the organization grows

Special Projects

  • Provide support with, and may independently own, administrative aspects of special projects, as assigned
  • Research, compile, and format information or materials
  • Support executive communications or internal materials as requested (e.g., presentations, summaries, briefs), drafting communications independently for executive review and sending on behalf of the executive

Requirements:
  • A minimum of 2-4 years of Executive Assistant experience, supporting executive level leaders (CEO, President, Chairman, etc.) at similar organizations (in size, industry, scope, organization life cycle)
  • Minimum education of an associate’s degree, bachelor’s preferred (directly relevant experience may substitute for education)
  • Excellent written and verbal communication skills
  • Ability to see “big picture” corporate strategy and organizational structure, and able to make logical connections
  • High attention to detail, accuracy, and polished presentation across a variety of media requiring minimal rework and editing
  • Ability to demonstrate effective organizational and time management skills
  • Strong, documented leadership and project management skills
  • Excellent problem solving and anticipatory, forward-thinking skills
  • Must be proactive and possess demonstrated ability to function successfully to a fast-paced environment
  • Proficiency in Microsoft Office Suite
