Senior Executive Operations Assistant

The Senior Executive Assistant serves as an Executive Operations Partner to the CEO, CFO, General Counsel, and VP HR. The role is responsible for managing executive priorities, driving operating cadence, and enabling effective execution across the leadership team. This is not a traditional administrative role. The position requires independent judgment, proactive decision making, and the ability to operate with limited direction in a fast-paced global environment. The successful candidate will act as a force multiplier by aligning schedules, information flow, and priorities to maximize executive effectiveness.

Core Responsibilities

Executive priority management

  • Own and optimize executive calendars based on strategic priorities and business impact

  • Anticipate conflicts and proactively resolve competing demands

  • Ensure executive time is aligned with growth, customers, and critical decisions

Operating cadence and execution

  • Drive weekly and monthly operating rhythms across CEO, CFO, General Counsel, and VP HR

  • Prepare agendas, consolidate inputs, and ensure pre read quality

  • Track follow ups and drive closure on actions

Board and senior stakeholder coordination

  • Support Board meeting preparation including materials consolidation, version control, and coordination with Finance and Legal

  • Interface directly with Board members and senior external stakeholders as needed

  • Ensure deadlines and deliverables are met with zero slippage

Communication and information flow

  • Draft and refine executive communications with a focus on clarity and impact

  • Manage sensitive information with discretion and sound judgment

  • Act as a central coordination point across functions

Decision support and problem solving

  • Triage inbound requests and determine appropriate prioritization and response

  • Identify gaps, escalate critical issues, and resolve problems independently where appropriate

  • Operate effectively with incomplete information

Project and initiative support

  • Lead coordination of cross functional initiatives driven by CEO, CFO, Legal, or HR

  • Monitor progress and ensure alignment to objectives and timelines

Basic Qualifications

  • Bachelor's Degree or equivalent work experience

  • 5+ years supporting C suite executives in a global corporate environment

  • Experience supporting multiple senior leaders simultaneously

  • Strong proficiency in Microsoft Office Suite

  • Proven ability to manage complex schedules and competing priorities

  • Demonstrated ability to operate independently and solve problems

  • Strong business judgment and decision making under ambiguity

  • High level of ownership and accountability

  • Ability to influence without authority across senior stakeholders
