Job description

The Executive Administrator/Analyst to the VP of Sales is a highly visible and influential role that serves as an extension of the President, helping to drive organizational effectiveness, strategic execution, and operational excellence. This position provides executive-level support through coordination of critical initiatives, preparation of leadership communications and presentations, analysis of business information, and management of key follow-up actions. The Executive Administrator/Analyst partners closely with the VP of Sales and executive leadership team to ensure priorities are clearly communicated, progress is measured, and decisions are supported with timely and accurate information. Success in this role requires exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment while maintaining a high degree of professionalism and confidentiality.

Executive Administrator/Analyst Schedule: 

  • Monday- Friday: 8:00am- 5:00pm 
  • This position must report to the office daily

Executive Administrator/Analyst Duties

  • Business Intelligence & Analysis 
    • Gathers business intelligence from a variety of sources — company data, industry/field reports, public information, and purchased sources — and serves as the SME on key performance metrics and data sources.  
    • Leads and partners with the executive on analysis of research findings to surface key business and operational insights for the leadership team.  
    • Summarizes financial and economic data reports for review by executives, managers, customers, and stakeholders, ensuring deliverables are accurate, timely, and reliable.  
  • Executive Communications & Presentations 
    • Manages internal and external communications by drafting updates, reports, pitch decks, speeches, presentations, and marketing materials using spreadsheets, databases, and publishing applications. 
    • Provides administrative writing support — emails, memos, agendas, and key materials — prepared on the executive's behalf. 
    • Communicates professionally with customers, supplier representatives, and the general public, representing the executive with polish and discretion.  
  • Meeting Preparation & Follow-Up 
    • Prepares the executive for internal and external meetings by ensuring they have all information necessary to be productive and engaged. 
    • Joins key meetings to take notes, coordinate follow-up, and serve as support for the executive's top priorities and action items.  
    • Utilizes email, electronic calendars, and office support software for time management and meeting coordination — including navigating multiple time-zone requirements across entities. 
  • Project & Strategic Initiative Coordination 
    • Facilitates completion of special projects by organizing and coordinating information, planning schedules, monitoring results, and communicating outcomes.  
    • Helps organize strategic planning processes across the organization and compiles business intelligence to support actionable recommendations.  
    • Assists in special event planning in support of the executive and enterprise priorities. 
  • Industry Knowledge & Professional Development 
    • Maintains current knowledge of industry and business trends through communication with professional organizations, suppliers, customers, and competitors.  
    • Maintains professional and technical knowledge by attending educational workshops, benchmarking professional standards, and reviewing professional publications.  
    • Understands the company's business processes and the beverage industry at large to add strategic context to decisions. 

Qualifications to Be Successful in This Role

  • Experience & Education
    • 3–5 years of experience in an executive support, executive analyst, or similar high-visibility role.
    • Bachelor's or Master's degree in Business Administration, Management, or a related field preferred.
    • Understanding of — or genuine willingness to learn — the beverage distribution industry and its unique challenges and opportunities.
  • Technical & Analytical Skills
    • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and G-Suite (Docs, Sheets, Slides, Data Studio/Forms).
    • Working knowledge of Tableau, Power BI, and/or SQL Server, with familiarity in database management and relational databases.
    • Strong presentation design skills — particularly in creating effective charts, graphs, and tables that turn data into decisions.
