Job description

Advent Talent Group is partnering with a well-established, global Retail Health organization to hire an experienced Executive Assistant to support the senior leadership team within a highly visible and fast-paced business unit in a global leader in Minneapolis, MN. This is a true business partner role, ideal for someone who thrives on anticipating needs, optimizing executive time, and operating as a strategic right hand.


Overview:

Location: Downtown Minneapolis, MN (Hybrid โ€“ paid parking)

Pay Rate: $36.00-40.00/hour

Position Type: Contract-to-hire


Responsibilities

Executive Support & Prioritization

  • Manage complex, ever-changing calendars across multiple senior leaders
  • Align executive time to key business priorities and strategic initiatives
  • Act as a gatekeeper for incoming requests and meeting flow
  • Prepare leaders with agendas, materials, and pre-reads
  • Track action items and follow-ups to drive execution

Travel & Meeting Coordination

  • Arrange domestic and international travel, including detailed itineraries
  • Coordinate high-level meetings, offsites, and leadership events
  • Partner with internal teams on larger event logistics

Expense & Vendor Management

  • Process and reconcile expense reports
  • Manage invoices, purchase orders, and vendor coordination
  • Partner with finance and procurement teams to ensure accuracy and timeliness

Executive Communication & Materials

  • Draft, edit, and format professional communications and presentations
  • Maintain a high level of confidentiality and discretion
  • Compile inputs from stakeholders to support executive deliverables

Cross-Functional & Operational Support

  • Collaborate across departments including Finance, HR, Legal, and Operations
  • Support leadership initiatives and special projects
  • Provide backup support to other executives as needed

  • 5โ€“7+ years of Executive Assistant experience supporting senior leaders
  • Proven ability to manage multiple executives and competing priorities
  • Strong experience with complex calendar management and travel coordination
