Job description

Executive Assistant- Business Units 

Pella, Iowa (on-site) 

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our EVP & Group President, Business Units, the Sr. leadership team, and act as a liaison between the Executive and the Business Units Organization. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs, and enjoys being a trusted advisor to executives. 

Key Responsibilities: 

  • Offer a consultative approach to calendar management: 

  • Optimize executive office time by consolidating meetings when appropriate, protecting time through gatekeeping, and prioritizing incoming requests. 

  • Managework-related expenses and budgets. 

  • Plan and coordinate travel itineraries. 

  • Serve as a liaison between the executives and internal/external stakeholders. 

  • Prepare meeting agendas, take minutes, and track action items. 

  • Draft and manage correspondence, presentations, and reports. 

  • Identify issues and develop effective solutions independently and with discretion. 

  • Organize and coordinate events, meetings, and conferences; both on and offsite (Minimal travel is expected). 

  • Support special projects and initiatives as needed. 

Qualifications: 

  • 5+ years of experience as an EA, providing support to an Executive. 

  • High level of discretion, professionalism, and confidentiality. 

  • Exceptional organizational and time management skills. 

  • Strong written and verbal communication abilities. 

  • Proven track record of building positive relationships with stakeholders at all levels; servant leadership. 

  • Ability to work independently and manage multiple priorities in a fast-paced and dynamic environment. 

  • Strong problem-solving and critical thinking skills. 

  • Ability to anticipate needs and proactively address challenges. 

  • Proficiency in Microsoft Office Suite and SharePoint.
