We are the world market leader for reusable packaging containers (RPCs) for fresh food and are constantly optimizing our products.

We help make the food supply cycle for the population more sustainable. With our RPCs, safety for food transport is improved, there is less waste of food and at the same time the lifespan of the products increases. Through our products and the need for less packaging materials we reduce the carbon footprint.

The Executive Assistant / Office Administrator provides high-level executive and operational support to the President of North America and the Executive Leadership Team (ELT). This role is responsible for managing executive scheduling, coordination with key internal and external stakeholders, office administration, vendor management, expense coordination, and employee engagement activities.

RESPONSIBILITIES

  • Manage and coordinate the President's complex calendar, meetings, travel, and scheduling priorities to avoid conflicts and ensure alignment with business priorities.
  • Coordinate internal and external meetings, including interactions with major customers, vendors, and business partners.
  • Serve as a key point of contact for executive scheduling and communication with customers
  • Provide administrative and coordination support to members of the Executive Leadership Team as needed.
  • Support preparation and coordination for leadership meetings, presentations, and business events.
  • Coordinate travel arrangements, itineraries, and meeting logistics for executives.
  • Maintain organized administrative records, documentation, and office files.
  • Oversee office operations and administrative services to ensure a professional and efficient work environment.
  • Manage relationships with office vendors, suppliers, and service providers.
  • Coordinate office supply ordering and inventory management.
  • Support office-related projects, maintenance requests, and operational needs.
  • Coordinate employee events, luncheons, engagement activities, and leadership meetings.

QUALIFICATIONS

  • Bachelor's degree preferred or equivalent combination of education and experience
  • 5+ years of experience in executive support, office administration, or related administrative leadership roles.
  • Experience supporting senior executives in a fast-paced corporate environment.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Strong proficiency with Microsoft Office Suite and scheduling tools (PowerPoint, Excel, SharePoint, Teams)
  • Ability to work independently, proactively, and collaboratively across functions.
  • Strong project management skills, including the ability to independently plan, execute, and track multiple initiatives simultaneously with minimal oversight
  • Position must be based in Tampa with office presence 3 days a week
