Job description

Work collaborative with another Executive Assistant with the following job functions:

  • Manage facility and provider enrollment processes for Medicare, Medicaid and all commercial payers. This includes new enrollments, as well as periodic re-validations.
  • Ensure Drug Enforcement Administration (DEA) numbers for each location are current and updated.
  • Prepare the general liability auto, D&O liability, and provider's professional liability insurance applications and send the completed applications to Conrade Insurance to process.
  • Prepare and distribute board packets to include packets of the Finance Committee, District and Hospital.
  • Attend and record Board minutes and distribute to COO for review/approval.
  • Process time and mileage reimbursement for Board Members.
  • Prepare and distribute management and leadership team meeting packets.
  • Attend bi-weekly Leadership Team meetings; record and distribute minutes within 72 hours.
  • Complete patient dismissal letters for clinics.
  • Initiate insurance claims, property or auto.
  • Coordinate with Conrade Insurance, driver eligibility for associate's utilizing CHCS vehicles.
  • Complete and distribute monthly Specialty Clinic calendar to Leadership Team, Board of Directors, departments, clinics and Communications Manager.
  • File original contracts in contract files.
  • Schedule and coordinate meetings (including requesting food and beverages, scheduling conference room and set-up blue Jean Video Conferences), and appointments when requested by managers and leadership team.
  • Coordinate registration for meetings and travel arrangements when requested by managers and leadership team
  • Receive and direct visitors and clients.
  • Open, sort and distribute incoming correspondence for CEO, COO, and providers.
  • Coordinate the completion and submission of various surveys (i.e. AHA survey).
  • Aggregate Leadership Team's time for approval by CEO and Coo.
  • Maintain the credit card log for the CEO and COO's credit cards.
  • Coordinate, assist and/or complete tasks associated with community based functions such as, Community Blood Center Blood Drive, Blue Valley giving tree, Adopt the Family program.
  • Answer, screen and transfer inbound phone calls.
  • Complete clerical duties such as laminate, print appointment cards, print color copies, print and bind books for department's managers and/or leadership team.
  • Coordinate maintenance of copiers by ordering supplies, fix when they jam, contact vendor for service. For the color copier complete monthly copier count and sent it to the company for billing.
  • Supports and abides by the mission, values, and polices of Community HealthCare System (CHCS).
  • Maintain and order office supplies.
  • Supports and abides by the mission, values, and policies of CHCS in all activities.
  • On-going compliance with CHCS educational requirements.
  • Arrives on time and ready to work.
  • All other duties as required.
