Job description

Executive Assistant to Executive Director

Location: Midtown Manhattan, NY (4 days in office)

Salary: 90,000–100,000 + comprehensive benefits and 401(k)


Our client, a mission-driven nonprofit organization, is seeking an experienced Executive Assistant to support its Executive Director. The ideal candidate is intelligent, professional, resourceful, and highly organized, with excellent communication and relationship-building skills. You are proactive, solutions-oriented, and able to anticipate needs while managing multiple priorities with discretion and attention to detail. This role is primarily focused on executive support, with some personal assistant responsibilities.


Responsibilities

  • Manage a complex and ever-changing executive calendar.
  • Coordinate domestic travel arrangements and detailed itineraries.
  • Handle executive email correspondence and communicate with internal and external stakeholders, including other executive assistants.
  • Prepare reports, presentations, and meeting materials.
  • Coordinate speaker series, fireside chats, panel discussions, and other executive events.
  • Track action items and ensure timely follow-up.
  • Serve as a trusted liaison between the Executive Director and key contacts.
  • Assist with personal tasks, including family travel, camp registrations, school-related logistics, appointments, and other projects.


Qualifications

  • 2–5 years of experience supporting C-level executives or senior leadership.
  • Strong calendar management and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professionalism, sound judgment, and discretion when handling confidential information.
