Volunteer Assistant Executive Producer – Upcoming TEDx Events

Location: Hybrid (must be available for in person meetings)/ Washington, DC–Potomac MD

Commitment: Volunteer Role

Organization: TEDxUStreetWomen / TEDxUStreetSalon / TEDxPotomac Planning Team

Reports to: Executive Producer / Licensed TEDx Organizer

About the Opportunity

We are seeking two highly organized, ambitious, and mission-driven Volunteer Assistant Executive Producers to support the development and execution of several upcoming TEDx events and related experiences.

This is a unique opportunity for someone who is interested in event production, speaker development, community engagement, partnerships, sponsorship, and the TEDx ecosystem. The Assistant Curator will work closely with the Executive Producer to help bring together speakers, partners, sponsors, volunteers, and community members in support of powerful, ideas-centered events.

This role is ideal for someone who wants to build practical skills, expand their professional network, and gain meaningful experience supporting TEDx-style programming, community events, speaker curation, and event execution.

About Our TEDx Events

Our upcoming TEDx-related work includes salon-style events, speaker-centered programming, VIP/community experiences, fireside chats, and the development of future TEDx programming. These events are designed to elevate bold ideas, meaningful conversations, community connection, and thoughtful storytelling.

All TEDx events are independently organized under license from TED and must follow TEDx rules, guidelines, and brand standards. The Assistant Executive Producer will be expected to support this work in a way that honors the TEDx mission, protects the integrity of the platform, and keeps the focus on ideas worth spreading.

Role Overview

The Volunteer Assistant Executive Producer will help the Executive Producer in multiple areas of event development and execution, including planning, speaker coordination, sponsorship support, community partnerships, VIP experiences, fireside chats, logistics, and post-event follow-up.

This is a hands-on role for someone who enjoys both strategy and details. The right person will be comfortable taking initiative, managing moving pieces, communicating professionally, and supporting a high-quality event experience from concept to completion.

Key Responsibilities

Event Planning & Logistics

Support the Executive Producer with planning and coordination for upcoming TEDx events, salons, receptions, and related community experiences.

Responsibilities may include:

    • Assisting with event timelines, planning calendars, and production checklists
    • Coordinating logistics for venues, registration, guest flow, volunteers, and event materials
    • Supporting communication with vendors, volunteers, speakers, and event participants
    • Helping track deliverables, deadlines, and key planning milestones
    • Assisting with event setup, guest experience, and post-event wrap-up
    • Supporting the planning of pre-event and post-event activities, including VIP receptions, after-party events, and community outings

Speaker Curation & Support

Assist with the speaker development and curation process under the direction of the Executive Producer.

Responsibilities may include:

    • Helping research potential speakers, fireside chat guests, moderators, and featured participants
    • Supporting the speaker intake and review process
    • Organizing speaker materials, bios, photos, drafts, and deadlines
    • Helping coordinate speaker coaching schedules, preparation sessions, and communication
    • Supporting the development of fireside chat formats and speaker-centered programming
    • Helping ensure that speaker-related activities remain aligned with TEDx guidelines and the event theme

Sponsorship & Partnership Support

Support outreach and relationship-building efforts with sponsors, community partners, civic leaders, businesses, and mission-aligned organizations.

Responsibilities may include:

    • Researching potential sponsors, collaborators, and community partners
    • Assisting with sponsor outreach lists and follow-up tracking
    • Helping prepare sponsorship materials, talking points, and event overview documents
    • Supporting sponsor and partner communication before and after events
    • Assisting with sponsor recognition logistics in a way that remains consistent with TEDx rules
    • Helping identify community organizations, charitable partners, and local leaders who may align with the event’s mission and audience

VIP Reception & Special Experiences

Assist with planning and coordination for VIP receptions, fireside chats, networking moments, and other special experiences connected to the event weekend.

Responsibilities may include:

    • Supporting guest list development and VIP communication
    • Helping coordinate reception flow, program timing, and hospitality needs
    • Assisting with fireside chat planning, guest preparation, and moderator coordination
    • Supporting the creation of meaningful networking and community-building moments
    • Helping manage details related to special guests, speakers, sponsors, and invited attendees

Communications & Administrative Support

Provide administrative and communication support to help keep the planning process organized and moving forward.

Responsibilities may include:

    • Drafting emails, outreach notes, agendas, and follow-up messages
    • Taking notes during planning meetings
    • Tracking action items and deadlines
    • Maintaining planning documents, spreadsheets, and shared folders
    • Helping prepare event briefs, speaker packets, volunteer instructions, and planning summaries
    • Supporting post-event follow-up, thank-you messages, and impact documentation

Ideal Candidate

We are looking for someone who is:

    • Ambitious, professional, and eager to learn

Experience in event planning, communications, nonprofit work, fundraising, sponsorship, public relations, speaker management, or project coordination is helpful but not required. A strong work ethic, professionalism, curiosity, and follow-through are most important.
