Job description

DRJG Executive Administrator
Reports To: Director of Engagement - Rebekah Somers
Department: DrJG
Role Summary
The Executive Administrator provides high-level operational and administrative support to Dr. Jackie Greene and oversees the day-to-day logistical functions that enable Dr Jackie to operate effectively. This role ensures that DrJG's schedule, travel, speaking engagements, and ministry responsibilities are supported with excellence and efficiency. The Executive Administrator, coordinates key ministry initiatives, oversees merchandise and product fulfillment, and supports financial organization across DrJG and related initiatives. This individual works closely with leadership to ensure that operational details are executed smoothly so that Dr. Jackie can remain focused on ministry leadership, teaching, and strategic vision.
Key Responsibilities
1. Executive Support & Scheduling

  • Provide high-level administrative support to Dr. Jackie Greene Ministries.
  • Manage calendar coordination, scheduling, and logistical planning related to DrJG initiatives and engagements.
  • Assist in organizing daily, weekly, and long-term priorities to ensure Dr. Greene's time is stewarded effectively.
  • Coordinate meeting logistics, travel schedules, and supporting materials as needed.
  • Deliver detailed documentation about Permission Room meetings with homework assignments
2. Travel & Speaking Engagement Logistics
  • Manage travel arrangements related to speaking engagements, ministry events, and DrJG initiatives.
  • Coordinate travel itineraries including flights, accommodations, transportation, and necessary travel documentation.
  • Prepare materials, merchandise, and resources needed for speaking engagements.
  • Ensure all logistical details related to speaking opportunities are organized and communicated clearly.
3. Merchandising & Product Logistics
  • Oversee logistics related to DrJG merchandise including books, resources, and ministry products.
  • Coordinate inventory management, product rollouts, and fulfillment processes.
  • Work with vendors, fulfillment partners, or internal teams to ensure products are distributed efficiently.
4. Event & Conference Project Management
  • Provide operational oversight and project management support for DrJG conferences and large-scale initiatives, including Permission Conference.
  • Coordinate logistics related to planning timelines, vendor coordination, and operational details.
  • Assign all roles and responsibilities for each area of Permission Conference to staff/volunteers
  • Build out all Monday.com boards and projects for Permission conference, assign staff accordingly, and manage all tasks for PC.
  • Manage all communication, travel arrangements, contracts, and any pastoral care needs for special guests coming to PC.
  • Manage all VIP / friends and family guests of PC.
  • Ensure events are executed with strong organizational structure and follow-through.
5. Financial Coordination & Oversight
  • Assist with financial organization and coordination related to DrJG initiatives.
  • Maintain awareness of ministry-related expenses, invoices, and financial processes.
  • Coordinate with Karihub to ensure expenses and payments are handled appropriately.
  • Support financial coordination related to DrJG, Greenelight, and personal initiatives as needed.
6. Operational Logistics & Resource Management
  • Oversee logistical needs that support the day-to-day meetings and functioning of DrJG.
  • Ensure necessary operational resources, materials, and systems are organized and accessible.
7. Coordination/ Communication with other Executive Admins
  • Excellent coordination with other admins, family assistants or support personnel assisting the Greene household. Ensuring that logistical needs related to travel, scheduling, and family support are organized and communicated clearly.
