Job description

Assistant Executive Director

Lincoln Village Senior Living | Port Washington, WI

Lead with purpose. Support your team. Make a difference every day.

Heritage Senior Living is seeking an organized, compassionate, and hands-on Assistant Director to help lead the day-to-day operations of one of our senior living communities.

Reporting to the Executive Director, the Assistant Director plays a key leadership role in supporting community operations, including resident services, staffing, clinical operations, life enrichment, culinary, housekeeping, regulatory compliance, customer service, and sales and marketing activities.

This is an excellent opportunity for a senior living professional who enjoys being involved in all aspects of community operations, developing employees, building relationships with residents and families, and helping create an exceptional place to live and work.

 What You'll Do

Support Community Operations

You'll work closely with the Executive Director and department leaders to keep the community running smoothly and ensure residents receive exceptional care and service.

  • Assist with the overall day-to-day operations of the community
  • Partner with the Executive Director and Director of Nursing to support resident care, wellness, and life enrichment programs
  • Help maintain a clean, welcoming, safe, and well-operated community
  • Assist with community purchasing and budget expectations
  • Maintain required inspection, certification, licensing, and survey documentation
  • Help identify operational needs and implement solutions
  • Serve as a leadership presence throughout the community

Lead & Support Our Team

Great resident experiences start with great teams. You'll help recruit, develop, schedule, and support employees while reinforcing accountability and Heritage standards.

  • Participate in recruiting, interviewing, hiring, onboarding, training, and development
  • Assist with supervising caregivers, CNAs, housekeepers, and other community employees
  • Create and maintain employee schedules based on resident and operational needs
  • Assist leaders with employee coaching, performance management, and evaluations
  • Conduct staff meetings, in-service education, and new-hire orientations
  • Support accurate and timely payroll processing
  • Help ensure appropriate staffing coverage throughout the community
  • Promote teamwork, accountability, professionalism, and a positive workplace culture

Create an Exceptional Resident & Family Experience

You'll be highly visible throughout the community and build meaningful relationships with residents, families, employees, and visitors.

  • Set and reinforce high customer-service expectations
  • Regularly engage with residents and families to understand their experiences and needs
  • Visit with residents during meals and throughout the community
  • Partner with families and clinical leadership to ensure resident needs can be appropriately met
  • Assist with new-resident move-ins and ensure required information is completed
  • Help ensure the community remains welcoming, comfortable, and presentable
  • Respond professionally and promptly to resident and family questions or concerns

Support Sales & Community Growth

Every leader plays a role in growing our communities and creating a positive first impression.

  • Support phone inquiries, community tours, and prospective resident follow-up
  • Assist with community outreach and relationship-building efforts
  • Help ensure prospective residents and families receive timely and professional communication
  • Partner with community leadership to create a welcoming move-in experience
  • Represent Heritage Senior Living professionally within the community

Maintain Quality & Compliance

You'll help ensure the community operates in accordance with applicable regulations, policies, and quality standards.

  • Assist with regulatory compliance for applicable Independent Living, RCAC, and CBRF operations
  • Maintain working knowledge of Wisconsin regulations applicable to CBRFs and RCACs
  • Support compliance with OSHA, workers' compensation, safety, and other applicable requirements
  • Maintain required regulatory and operational records
  • Assist with inspections and surveys and immediately notify appropriate leadership when regulatory or inspecting agencies arrive
  • Maintain knowledge of community resources that may support resident needs
  • Partner with leadership to identify and address quality or compliance concerns
 What We're Looking For

We're looking for a leader who is comfortable rolling up their sleeves and helping wherever needed. The ideal Assistant Director can move comfortably between supporting an employee, talking with a resident or family, solving an operational problem, assisting with a tour, and helping leadership keep the community on track.

Successful candidates will demonstrate:

  • A genuine passion for working with seniors
  • Strong leadership and interpersonal skills
  • Excellent customer-service abilities
  • Strong organization and time-management skills
  • Sound judgment and effective decision-making
  • Ability to manage conflict and solve complex problems
  • Ability to work independently while being an effective member of the leadership team
  • Experience hiring, training, coaching, and managing employees
  • Working knowledge of dementia and memory care
  • Strong computer skills, including Microsoft Outlook and Microsoft Office applications
  • Flexibility to provide leadership support during weekends, evenings, and holidays when community needs require it
 Qualifications
  • 1–3 years of experience in assisted living, memory care, senior living, healthcare, hospitality, or a related environment preferred
  • Previous supervisory or leadership experience preferred
  • College education in healthcare administration, business management, or a related field is preferred; an appropriate combination of education and relevant experience will also be considered
  • Knowledge of Wisconsin CBRF and RCAC regulations preferred
  • Ability to communicate effectively in English, both verbally and in writing
  • Strong customer-service, organizational, and problem-solving skills
