Job description

Pay: $21.50/hr

Full Time, Location -Hybrid; Four days in office, Orlando, FL and one day home.

Department: AA to the Executive Director in the Jesus Film Project department.

The Kind of Work You'll be Doing: 

  • Manage the Executive Director's phone calls, email, visitors, and calendar in order of priority and redirect or respond independently when possible. Respond for the Executive Director when appropriate and draft correspondence on their behalf to various audiences. 
  • Network and collaborate with the Executive Administrators and/or Administrative Assistants for leaders across Cru on scheduling, correspondence, processes, tasks, etc. 
  • Collaborate with the Development Representatives to help the Executive Director meet with key JFP donors and ensure they have the giving donor profile and background information needed for an effective meeting. Assist with Donor Briefings as needed. 
  • Work with the Chief of Staff to keep the Executive Director apprised of all pertinent information such as schedules, speaking opportunities, staff issues, and track needs, priorities, and follow-up of action points. 
  • Schedule and attend weekly meetings with the Executive Team (ET) and the Executive Leadership Team (ELT), take and distribute notes and communicate/assign action steps.
  • Schedule regular meetings with the Executive Director's direct reports. 
  • Schedule, plan, and organize on/off-site ELT and ET retreats, events, and conferences and coordinate with vendors on contracts to secure locations, handle deposits, set-up group billing, etc. as needed. 
  • Schedule all domestic and international travel for the Executive Director as requested including flights, lodging, ground transportation, country visas, etc. 
  • Help create Executive Team and team leader meeting agendas alongside the Executive Director, Chief of Staff, and Chief Operating Officer. 
  • Ensure that visas are procured for the Executive Director. Register with the International Travel registry. Obtain SOS insurance and file with the State Department. 
  • Ensure completion of group travel sheet for crisis management, group SOS form, and international form for international ET F2F meetings. 
  • Reconcile corporate credit card reports using Concur, process operating reimbursements, place funding requests, and maintain a log of invoices and purchases for the Executive Director.

  • 2-year / Associate Degree in office management, business, communications, or related fields preferred but not required;
  • 3 years of experience; or an equivalent combination of education and experience.
