Overview
Everline Resort & Spa is seeking a highly organized and service-driven Administrative Assistant to support our Engineering department while also providing while also providing administrative and billing support to our executive leadership and Accounting departments. This is a dynamic, highly visible role ideal for a proactive professional who thrives in a fast-paced resort environment, values discretion, and enjoys balancing executive-level support with operational coordination.
About Everline Resort & Spa
Located in California's Olympic Valley, Everline Resort & Spa provides a premier mountain getaway to North Lake Tahoe. The resort offers a year-round destination with ski-in/ski-out access to Palisades Tahoe, the third largest ski resort in North America, a championship golf course, relaxing spa treatments and a wide range of recreational activities. Our sophisticated resort environment perfectly complements its rugged surroundings and reflects the spirit of the region.

Responsibilities
Engineering Billing and Administrative Support
  • Process and track Engineering department invoices, purchase orders, and vendor billing
  • Coordinate with vendors and internal teams to resolve billing discrepancies
  • Maintain service contracts, compliance documentation, and project records
  • Support Engineering leadership with scheduling, reporting, and administrative needs

Executive Leadership Support
  • Provide high-level administrative support to executive leaders, including expense reports and correspondence
  • Prepare agendas, presentations, reports, and meeting minutes
  • Serve as a professional liaison between executives and internal and external stakeholders
  • Handle confidential and sensitive information with discretion and professionalism

Accounting Support
  • Assist with data entry, invoice processing, and expense tracking
  • Support accounts payable and receivable workflows and internal reporting
  • Coordinate documentation and follow-up related to financial audits and deadlines
  • Maintain organized digital and physical financial records

Qualifications
  • 3+ years of experience in an accounting, administrative, executive assistant, or office management role
  • Previous experience supporting accounting or finance functions strongly preferred
  • High proficiency in Microsoft Office including Outlook, Excel, Word, and PowerPoint
  • Exceptional organizational, time-management, and multitasking skills
  • Strong attention to detail and accuracy, especially with financial data
  • Professional communication skills and a hospitality-focused mindset
  • Ability to adapt, prioritize, and remain composed in a fast-paced environment

  • While performing the duties of this job, the employee is regularly required to walk, talk, see, and hear. Must be capable of sitting 90% or more of a normal 8 hour work shift. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perceptions and the ability to adjust focus. Must be capable of answering phones and using a computer.
  • While performing the duties of this job, the employee will be exposed to indoor working environment. The noise level in the work environment is low.
