Executive Assistant to the Chief Executive Officer
Position Overview
Our client is seeking an experienced Executive Assistant to provide high-level administrative support to the Chief Executive Officer. This individual will serve as a trusted business partner, managing complex schedules, travel logistics, executive communications, and confidential business matters. The ideal candidate is proactive, detail-oriented, highly organized, and thrives in a fast-paced executive environment while anticipating leadership needs.
Key Responsibilities
  • Manage the CEO's complex calendar, appointments, meetings, and shifting priorities.
  • Coordinate domestic and international travel, including commercial and private air travel, accommodations, ground transportation, and travel documentation.
  • Manage executive correspondence and respond on behalf of the CEO when appropriate.
  • Prepare presentations, reports, meeting materials, and executive communications.
  • Coordinate board meetings, leadership meetings, and special events, including agendas, meeting minutes, and follow-up on action items.
  • Support strategic initiatives and special projects while tracking timelines, deliverables, and key milestones.
  • Process executive expenses, invoices, and provide general administrative support.
  • Maintain highly confidential records and sensitive information with the utmost discretion.
  • Serve as a liaison between executive leadership, internal departments, external business partners, vendors, and clients.
  • Provide leadership and oversight to an Administrative Assistant.

Qualifications
  • Bachelor's degree preferred.
  • 5-10 years of Executive Assistant experience supporting C-suite or senior executive leadership.
  • Advanced proficiency with Microsoft Office Suite and expense management software (such as Concur).
  • Exceptional written and verbal communication skills.
  • Outstanding organizational, time management, and multitasking abilities.
  • Demonstrated ability to exercise sound judgment and maintain strict confidentiality.
  • Professional, resourceful, and proactive with a strong sense of ownership and problem-solving ability.
  • Notary certification is preferred, or willingness to obtain one if required.

Physical Requirements
