Job Description:
The Executive Assistant provides overall organizational support to the CEO, President, GM, CFO, and SVP's. They play a key role in managing agenda's, responding appropriately to various correspondence, coordinating meetings, travel and expenses, and personal tasks for the Executives. This seasoned employee is the go-to person for any questions related to the exec team. In addition, the executive assistant forms strong relationships with all employees, lending a helping hand where needed.
RESPONSIBILITIES
Respond to and/or delegate various correspondences on behalf of the full office C-suite and executive level team members
Work with closely with the entire office, including leads and the office manager to make sure that internal functions or global projects run smoothly
Manage multiple agendas, while assisting the exec in prompt and effective management of meetings, conference calls and timelines
Handle a wide and complex variety of administrative support duties and tasks such as owning schedules, managing calendars, booking travel and running errands (coffee runs, Christmas shopping, lunch orders etc.)
Manage all DSOW (Detailed Statement of Work) tasks and organize electronic legal files
Organize office monthly meetings with presentations, updates, set up etc.
Maintain client confidence and protect operations by keeping information confidential
REQUIREMENTS
2-3 years of professional experience, preferably as an Executive Assistant or Senior Secretary
Highly proficient in the use of MS Office products, Visio, PowerPoint
Superior communication skills, both oral and written and excellent word processing skills
A stickler for detail and takes ownership of tasks and drives through to completion
Ability to multi-task and meet tight deadlines
Must work well under pressure
Customer services focused attitude
Must be flexible
