About the Role

At Graham, the Executive Assistant is a trusted partner to senior leadership and a key representative of the executive office. This role requires exceptional judgment, emotional intelligence, confidentiality, and proactive support. The Executive Assistant serves as a strategic thought partner, a reliable "go-to" resource, and a people leader—ensuring the executive can focus on priorities while the business runs smoothly. As an Executive Assistant at Graham, you will:

  • Act as a trusted partner and extension of the executive, embodying Graham's purpose and core values
  • Meet regularly with executive leadership to align priorities and proactively structure time
  • Apply emotional intelligence and strong interpersonal skills to anticipate needs
  • Maintain strict confidentiality and discretion across all executive matters
  • Build and maintain trusted relationships with internal and external stakeholders on behalf of the executive
  • Proactively manage complex Outlook calendars, anticipating conflicts and prioritizing requests
  • Protect and carve out dedicated time for planning, strategy, and reflection
  • Keep executives informed of upcoming priorities and commitments
  • Collaborate closely with other Executive Assistants to coordinate high-priority meetings
  • Draft, edit, and finalize executive-level correspondence and communications
  • Prepare presentations, meeting materials, and communication packages in advance of meetings
  • Engage with senior leaders and external contacts professionally and effectively
  • Plan and coordinate departmental and team events end-to-end, including logistics, contracts, catering, and setup
  • Partner with the Corporate Events Manager to support large-scale, companywide events
  • Manage thoughtful and efficient travel planning, scheduling, and communications
  • Ensure travel arrangements support the purpose of the trip while allowing space for decision-making and work
  • Prepare, code, and submit monthly expense reports
  • Support reconciliation and forecasting for executive office budgets
  • Serve as a mentor to administrative peers, delegating appropriately and supporting skill growth
  • Inspire learning and development within the admin team to prepare others for future career opportunities
  • Execute and support special projects, including research, reporting, data preparation, and follow-up
  • Attend meetings to capture notes, decisions, and action items
  • Manage document organization and filing (electronic and manual)
  • Recommend and implement process improvements as needed
Qualifications & Experience

Bachelor's degree preferred 4+ years of experience providing executive-level administrative support Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) Strong technology skills, including video conferencing and remote work tools Proven ability to partner effectively with leaders at all levels Exceptional written and verbal communication skills Highly organized, detail-oriented, and adaptable in a fast-paced environment Self-starter with strong prioritization and multitasking abilities Reliable, punctual, and collaborative Demonstrated people leadership or mentorship experience
