Position Overview

The Executive Assistant (EA) to the President supports the daily operations and activities of the President in a fast-paced, dynamic environment. This role is ideal for a professional who is resourceful, proactive, exceptionally organized, and who thrives on managing competing priorities, anticipating needs, and creating efficient systems and solutions.

The Executive Assistant coordinates schedules, meetings, events, and logistics, including support related to the President's duties and projects. The role also serves as a key administrative leader in the organization by fostering collaboration among staff and promoting operational best practices. Candidates who are collaborative, curious, solutions-oriented, service-minded, resilient, and skilled in executive follow-though, will thrive in this position. The EA will additionally provide support for AJU's 2050 Institute initiative.

Strategic Responsibilities
  • Support the daily operations for the President, including managing administrative priorities and implementing efficient office operations.
  • Serve as the primary front-facing representative of the President's office by greeting guests, coordinating access to the President, and maintaining a professional and welcoming environment.
  • Coordinate complex calendars and scheduling for the President, prioritizing engagements based on stated goals and priorities.
  • Maintain organized, secure files and databases related to the President's activities, external relations, and treat sensitive information with high professional discretion.
  • Act as a liaison between President and internal/external stakeholders
  • Screen and prioritize calls, messages and requests.
  • Prepare briefing materials, agendas, and meeting notes.
  • Track action items and follow up to ensure deadlines are met.
  • Support special projects including the 2050 Institute from planning through execution.
  • Develop and maintain project plans, tracking tools and status reports.
  • Maintain President's records in AJU's database.
Qualifications & Experience
  • Bachelor's degree or equivalent combination of education and relevant professional experience required, with a minimum of five (5) years of experience in a high-responsibility role supporting senior leadership.
  • Strong judgment and discretion in handling confidential and sensitive information, with a clear understanding of privacy and professionalism in both written and verbal communications.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaborative platforms such as Microsoft Teams andHubSpot.
  • Experience in higher education or nonprofit environments is highly preferred, with an understanding of the unique needs within this sector.
  • Strong organizational skills with meticulous attention to detail and project management.
  • Ability to work both independently and collaboratively
  • Must have a positive, professional and service-oriented leadership style.
  • Must be authorized to work in the United States.
  • Must be able to work occasional evenings and weekends, including holidays.
Physical Requirements & Work Environment
  • The role requires the ability to remain standing or sitting for extended periods of time.
  • Must be able to lift, push, pull and carry objects (15 lbs.), such as files and office supplies.
  • Occasional travel to other campus sites and off-site locations may be required.
Compensation
  • Salary Range:$85,000 - $95,000 annually.
