Executive Assistant - COO & VP Manufacturing

Supporting both our COO/Chief Operations Officer & VP of Manufacturing, located on-site at our manufacturing plant in Pleasant Prairie, Wisconsin, the Executive Assistant will provide high-level administrative and organizational support to both our COO and our VP of Manufacturing. The Executive Assistant for the COO & VP of Manufacturing plays an integral role to ensure an effective and smooth-running manufacturing organization, partnering closely with the Executive Assistant peers and engaging with our factory leadership team.

The ideal Executive Assistant will have 5+ years of experience supporting senior level Executives (Director level or above) in a fast-paced environment – ideally within a manufacturing environment. The proven ability to manage calendars and schedules effectively, prior experience booking both domestic and international travel for senior leaders, and demonstrate initiative and a pro-active mindset. Responsibilities:

  • Provide full administrative support by assisting in managing and tracking deliverables and ensuring deliverables are completed within deadlines
  • Manage schedules and calendars, including all meetings and appointments with full access to calendars. Take pro-active approach, looking ahead to ensure the schedule is planned effectively for the Executive
  • Ensure Executive is prepared for and has the right materials for meetings on a daily schedule
  • Plan and book international and domestic travel including air, lodging, and ground transportation
  • Assist in the organization of company events and off-site corporate meetings including arrangement of event location, food and beverage arrangements, audio and visual equipment requirements, and so on
  • Manage and maintain travel and expense reports and corporate credit card profile
  • Ability to work in a fast-paced and changing environment and ability to work well with all levels of the organization
  • Provide Executive Administrative support to our COO & VP of Manufacturing on-site at the HARIBO factory in Pleasant Prairie, Wisconsin

Qualifications:

  • High School Diploma
  • 5+ years of Executive Assistant or Administrative Assistant support for C-Suite and/or manufacturing senior level leaders (Directors and above in a Manufacturing environment)
  • Demonstrated advanced proficiency in MS Office including Word, PowerPoint, Excel, and Outlook

Preferred Qualifications:

  • Associate's Degree or Bachelor's Degree
  • Prior experience supporting Executives (Directors or above) in a global organization
  • Prior experience with Concur or similar travel/expense management systems
  • Prior experience booking international travel arrangements
  • Fluency in German and/or prior experience working for a German owned/European owned organization can be helpful but is not required
