Job description

You will provide comprehensive administrative and project support to executives (VPs) and their leadership team, managing daily logistics and departmental business projects to ensure the executive and their team operate efficiently and effectively using a wide variety of software and digital automation tools.

Position Compensation Range:

$29.91 - $49.52

Pay Rate Type:

Hourly

Compensation may vary based on the job level and your geographic work location. Relocation support is offered for eligible candidates.

Primary Accountabilities

  • You will provide comprehensive administrative support by optimizing multiple executive's time to align with key business priorities through AI automation and other digital tools to efficiently manage the executive's calendar, travel, expenses and internal and external correspondence with a high degree of autonomy.
  • You will oversee departmental project coordination which includes remaining well informed of executive's departmental business initiatives and deliverables to provide maintenance and updates of departmental projects, as well preparing meeting materials and to ensure follow-up on action items with relevant business partners.
  • Team and office coordination - You will serve as central point of contact for the department and handle team-related logistics by maintaining credibility, creating trust and building effective relationships with the executive's senior leadership team.
  • You will leverage, research and resource digital tools, AI and automation processes to maximize executive effectiveness and automate routine tasks.
  • Other assignments and tasks may be required, including the completion of other assignments or participation in projects based upon skills, achievements, or experience.

  • Demonstrated experience providing customer-driven solutions or support.
  • Demonstrated experience providing highly effective organizational & time management.
  • Demonstrated effective experience of adaptability & resourcefulness.
  • Demonstrated effective interpersonal skills and ability to effectively collaborate and communicate with senior leadership, all levels, and maintain confidentiality.
  • Demonstrated experience with event & meeting planning.
  • Solid knowledge and skills with AI, automation, software and collaboration platforms.

  • To ensure a strong start, all employees participate in our New Employee Orientation during their first week. This experience is held in person at our Madison, WI Headquarters or one of our AmFam core locations to help you connect with our mission, meet key team members and build relationships that support your growth. At times, sessions may be delivered virtually based on scheduling and availability.

In this primarily office-based role, you will be expected to spend at least 80% of your time (4+ days per week) working from the office. Candidates should reside within approximately 35-50 miles from the office location in Madison, WI 53783.
